Job summary

Qualifications

Responsibilities

  • Manage contracted services for facilities including building automation and safety systems
  • Oversee CMMS data integrity and KPI reporting
  • Maintain Facility Information System with plans, warranties, permits and capital plans
  • Support Director in maintenance and operations of contracted services
  • Coordinate with hospital departments for campus-wide issues
  • Assist with regulatory documentation and inspections
  • Conduct preventive and predictive maintenance strategies
  • Provide financial and operational reports to leadership
  • Negotiate and review external service contracts
  • Prepare budgets and analyze monthly variances
  • Respond to facilities emergencies and coordinate responses
  • Liaise with Safety, Security, EVS, and Food & Nutrition Services

Pay Range: $59.51 - $88.67 per hour

Summary

The Senior Facilities Manager supports the Director, Facilities Management in the administration of the program to manage the day-to-day facility operations and maintenance of the buildings and the various mechanical, electrical, plumbing and utility systems which support it. The Facilities Manager will also support management and administration of related facilities services, including but not limited to parking & transportation and clinical engineering. The Facilities Manager will directly oversee contracted operations in the assigned service areas; ensuring that contracted vendors deliver on contract requirement and provide for a great patient and staff experience. This position will be responsible for annual budgets and monthly variance comments as it relates to these service lines and ensuring that these services meet or exceed expectations in their service delivery. Coordinates minor construction and renovation programs. Must possess positive customer service skills and demonstrated problem-solving ability.

  • At least 8 years of experience in facilities management, demonstrated success in Healthcare Facility Leadership
  • Experience managing outsourced Integrated Facility Management vendor or equivalent.
  • High school graduation, Bachelors Degree in Related Field, or Equivalent Experience
  • Experience in vendor contract management
  • Experience managing and maintaining a CMMS.
  • Must be proficient in MS Office, Teams, Project, Other Facilities Management Digital Tools
  • Must demonstrate excellent written and oral communication skills.
  • Ability to analyze problems and adopt an effective course of action
  • Demonstrated experience dealing with customer service issues.
Preferred Job Qualifications
  • 15 years of experience in leadership level academic healthcare facilities management.
  • Bachelors degree in engineering, architecture, or related field.
Physical Demands

While performing the duties of this job, the associate is regularly required to stand; use hands to finger, handle, or feel; reach with hands and arms; and stoop, kneel, crouch, or crawl. The employee is occasionally required to walk, sit, climb or balance, and talk or hear. The employee must frequently lift and/or move up to 50 pounds.

Responsibilities
  • Manages the contracted services for facilities; these may include system service agreements such as building automation, pneumatic tube system, overhead paging system, infant abduction security, door access controls, parking & transportation.
  • Manages the Computerized Maintenance Management System (CMMS) and implements various measures to control and clean data, making improvements to extract and report key performance indicators for key leader understanding.
  • Manages the hospital “Facility Information System” to ensure timely accessibility and updates to information such as floor plans, warranties, permit inventories, capital plans, regulatory documentation and other critical facility management information.
  • Supports the Director, Facilities Management in managing the maintenance and operations contracted service.
  • Acts as liaison with Hospital and Academic Departments for campus wide issues.
  • Supports the organization, audit and administration of all required records for TJC, IDPH, OSHA and other Authorities Having Jurisdiction.
  • Performs regular rounding and inspection of all facilities and on-going projects to ensure safety, compliance and quality.
  • In close support of the Department Director, implements preventive and predictive maintenance strategies and practices
  • Provides regular financial and operations reports to demonstrate fiscal and quality accountability.
  • Responsible for outside vendor contract negotiation and review of miscellaneous facilities related service contracts
  • Reviews monthly financial statements, prepares budgets, and responds to monthly budget variances related facilities management.
  • Responds to facilities emergencies at all hours with poise and problem-solving nature – working quickly to solve problems.
  • Acts as liaison to Safety, Security, EVS and Food & Nutrition Services.
  • Acts as liaison to Finance Department. Prepares check request, purchase orders and other documents as needed to execute on service contracts for facilities.
  • Other duties as assigned
