The Position

Liberty Mutual Investments is seeking a highly qualified Senior Executive Assistant to join our Administrative Services team. This is a compelling opportunity to support the most senior leaders within Liberty Mutual Investments, offering broad exposure to strategic initiatives and operations across the business.

In this dynamic role, the Senior Executive Assistant will be responsible for high-level administrative support, including complex calendar management, travel coordination, project oversight, and execution of ad hoc assignments. The position demands sound judgment, meticulous attention to detail, and the ability to handle confidential information with the utmost discretion.

You will serve as a key liaison across various levels of the organization, facilitating clear communication and ensuring operational efficiency. The ideal candidate thrives in a fast-paced environment, excels at managing competing priorities, and brings strong organizational and interpersonal skills to the table.

By joining our Executive Support team, you will play an essential role in enhancing productivity and enabling the success of our leadership and business functions. Leveraging advanced technology and AI-driven tools, you will streamline workflows, optimize executive support operations, and contribute to a culture of continuous improvement and innovation.

This is a hybrid role. The selected candidate must live within a commutable distance to the Boston, MA office and have the ability to come into the office 3-4 days a week. The schedule may vary depending on activities and events in the office.

Responsibilities:

  • Serves as a strategic partner to senior executives, providing high-level administrative support with discretion, efficiency, and a forward-thinking mindset
  • Manages complex calendars and schedules, prioritizing executive time with a focus on strategic alignment and impact
  • Coordinates executive meetings and events internally and externally
  • Leverages technology and AI-driven tools to streamline workflows, automate tasks, and enhance overall productivity
  • Oversees detailed international and domestic travel planning and logistics, ensuring seamless itineraries and proactive issue resolution
  • Prepares, edits, and finalizes high-quality presentations, and executive communications, ensuring clarity, accuracy, and strategic alignment
  • Curates and maintains digital information systems and document repositories such as MS Teams Channels and Sharepoint, ensuring compliance with governance, privacy, and retention standards
  • Acts as a liaison between senior leaders and internal/external stakeholders, fostering strong professional relationships across all levels
  • Drives operational excellence through process improvement initiatives in partnership with Administrative Solutions and Reception Services teams
  • Manages and executes special projects that support executive and organizational priorities on an as needed basis
  • Anticipates and proactively addresses executive needs to minimize friction and maximize leadership impact
  • Welcomes and manages interactions with high-profile visitors, ensuring a professional and seamless experience
  • Champions innovation and continuous improvement within the administrative function
Qualifications
  • Solid knowledge of administrative procedures, software applications (such as Microsoft Office Word, Excel, PowerPoint, Teams, Adobe Acrobat, etc.) records management systems, and other business procedures and terminology.
  • Excellent organizational skills, time management skills and attention to detail, to include anticipating needs, being resourceful and proactive.
  • Displays high degree of professionalism to maintain confidential information with discretion, deal with people tactfully, and help establish strong relationships and positive communication.
  • Strong ability to read complex settings and respond to challenging people and/or circumstances with diplomacy and tact.
  • Competencies typically acquired through an associate`s degree (or equivalent) and 3 to 5 years of relevant and progressively more responsible administrative experience, to include prior experience providing support at the management level.
  • Investments experience or background a plus but not required.
