Wolters Kluwer Clinical Effectiveness (CE) is looking for an Executive Assistant with demonstrated executive administrative capabilities to support key members of the CE Executive Leadership Team (ELT). Reporting to the CE VP of Marketing and Communications, the incumbent in this role will foster a cross-collaboration culture, support productivity across the ELT, and enjoy being a “go-to” person in the CE organization.
The Executive Assistant will provide executive level administrative support to the VP Marketing and Communications, VP Product, VP Customer Experience, and VP Engineering. Within established guidelines, makes independent decisions regarding planning, organizing, and scheduling work. This role will require someone capable of confidently and professionally interacting and supporting executives and their teams and will be expected to establish effective working relationships with peers inside and outside of Wolters Kluwer, including customer and partner facing activity. This individual will also be tasked with assisting on key tasks such as event and on-site meeting logistics, purchase order and invoice processing, meeting coordination, equipment ordering, and presentation development.
LOCATION AND TRAVEL REQUIREMENTS
**This is a Hybrid position, working in the Waltham MA. office 2-3 days a week, and as needed based on ELT on-site functions. **
Key Primary Responsibilities
Provide day-to-day administrative support and project coordination.
Maintain calendars, prioritizing and arranging meetings to maximize executive’s time efficiency, while balancing business and corporate priorities
Schedule, monitor and coordinate calendar events, recurring team meetings.
Ensure ELT members’ planned cadence (i.e., 1:1’s, team reviews, QBR’s etc.) are scheduled and are executed.
Make travel arrangements, communicate itineraries, and manage (travel) expenses as needed.
Coordinate and track special activities, on and off-site meetings and presentations.
In conjunction with the Great Place to Work (GPTW) employee committee, manage logistics for Waltham office GPTW employee events.
Complete daily administrative functions such as purchasing supplies, taking minutes during meetings, preparing and processing invoices and other duties as directed.
Assist in managing requests for electronic billing as well as utilizing the appropriate document management system.
Developing effective PowerPoint presentations as needed
Performing other support duties as assigned
Experience
Bachelors in communications and/or Marketing or formal Executive Administration training required.
Extensive knowledge and prior use of Microsoft office suite products – Outlook, Word, Excel and PowerPoint as well as conference and web-based “live meetings” required.
High degree of discretion and a sense of appropriateness of what can be communicated to whom is critical.
Ability to work “before and after hours” if necessary for last minute changes to appointments or travel issues.
Strong communication, writing, editing and storytelling skills.
Ability to multitask, deadline driven, can work independently & manage competing deadlines.
