Job summary

Ogletree Deakins seeks a Senior Billing Specialist to join our Financial Operations Team in Tampa, FL. You will prepare and process client invoices with precision, collaborate with attorneys, PAs, and clients to optimize revenue, and ensure timely billing.

Strong Excel and billing-system experience are essential for success. Responsibilities include accrual management, resolving invoice issues, producing reports, and maintaining billing documentation in a fast-paced environment.

Qualifications

  • Undergraduate degree in Business, Accounting or Finance.
  • 5+ years legal billing or project costing billing preferred.
  • Proficiency with MS Word and Excel (formulas, pivot tables and filters).
  • Working knowledge of Aderant and BillBlast ideal.
  • Experience with PrebillViewer (PBV) preferred.
  • Experience with electronic billing systems such as, Legal Tracker, LegalX, Collaborati, and TyMetrix, etc. preferred.
  • Interpersonal and Communication Skills: Excellent oral and written communication abilities and professional demeanor.
  • Workload Management: Prioritize tasks efficiently in a fast-paced environment.
  • Self-Motivation: Highly motivated self-starter with minimal supervision.
  • Organizational Skills: Exceptional organization and attention to detail.
  • Initiative and Judgment: Take initiative and follow up effectively.
  • Rates Knowledge: Understanding rates, fee offers and related nuances.

Responsibilities

  • Prepare and process client invoices accurately within deadlines.
  • Edit, transfer, write-offs, and adjust fee or cost entries; transmit invoices via email, e-billing, or mail.
  • Adhere to monthly accrual deadlines per attorney and client requirements.
  • Resolve rejected invoices within one month; manage Ledes files and update status weekly.
  • Serve as billing resource for attorneys, PAs, and clients; handle requests and projects.
  • Communicate promptly and professionally to inquiries in shared and personal mailboxes.
  • Prepare budgets and fee/cost reports; generate ad hoc reports as needed.
  • Ensure compliance with billing policies and procedures.
  • Maintain up-to-date billing procedures and related documentation.

Job description

Position Summary

Join our dynamic Financial Operations Team at Ogletree Deakins as a Sr. Billing Specialist. This role is pivotal in supporting and enhancing our firm's billing function by ensuring the accurate and timely preparation of client invoices. You will collaborate closely with Attorneys, Practice Assistants (PAs), and clients to optimize revenue and enhance client satisfaction.

Essential Functions
  • Invoice Management: Accurately prepare and process client invoices within deadlines, including editing, transfers, write-offs, and adjustments to fee or cost entries. Ensure successful invoice transmission via email, e-billing systems, or US mail.
  • Accrual Management: Adhere to and follow deadline driven accruals which are expected each month in a timely fashion and in accordance with the requirements of the attorney and client.
  • Ebilled Invoice Management and Rejection Resolution: Resolve rejected invoices within one month of rejection. Ability to manipulate Ledes files as needed. Update status in BillBlast weekly.
  • Client Collaboration: Serve as the primary billing resource for attorneys, PA’s, and clients, addressing billing requests and special projects while fostering strong professional relationships.
  • Effective Communication: Respond promptly, courteously, and professionally to inquiries within shared and personal mailbox.
  • Reports: Prepare budgets for clients per billing schedule. Regularly prepare fee and cost reports for requestor. Prepare adhoc reports.
  • Policy & Procedure Compliance: Ensure adherence to established billing policies and procedures.
  • Documentation: Maintain up-to-date client-matter-specific billing procedures, attorney preferences, and prepare necessary spreadsheets for tracking supplemental billing, fee caps, volume discounts, expenses, etc. and other additional documentation if needed.
  • Team Collaboration: Actively contribute to a collaborative team environment, supporting colleagues and sharing knowledge to achieve departmental goals and enhance overall performance.

Wage Transparency

In accordance with the Colorado Equal Pay for Equal Work Act, the expected salary range for this Colorado position is between $51,040 and $76,560. In accordance with New York State’s Wage Transparency Law, the expected salary range for this New York State position is between $49,840 and $90,720. In accordance with California’s amended labor code as stated in Senate Bill 1162, the expected salary range for this California position is between $51,440 and $90,720. In accordance with the Washington Equal Pay and Opportunities act, the expected salary range for this Washington position is between $57,520 and $86,280. In accordance with the Wage Transparency Omnibus Amendment Act, the expected salary range for this DC position is between $57,520 and $86,280. In accordance with Maryland’s Equal Pay for Equal Work-Wage Range Transparency Law, the expected salary range for this Baltimore position is between $51,440 and $77,160. In accordance with Illinois Equal Pay Act Transparency Notice, the expected salary range for this Illinois position is between $57,520 and $86,280. In accordance with NJSA 34:6B-23, the expected salary range for this New Jersey position is between $60,480 and $90,720. In accordance with Minnesota Pay Transparency Law, the expected salary range for this Minnesota position is $51,440 and $77,160. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law. This position qualifies for the benefits below.
