Medline Industries, LP has an immediate opening for a Senior Administrative Assistant supporting the Quality Leadership team at its Northfield, IL headquarters. Under supervision, provide administrative and clerical support including data entry, filing, calendar management, and document control.

Compile data, write summaries, and assist in daily office activities. Responsibilities include scheduling, travel arrangements, file organization, SOP drafting, report distribution, and database

Qualifications

  • High school diploma or equivalent.
  • At least two years of experience in a similar role or customer service.
  • Intermediate skills in Access, Excel, PowerPoint, and Word.
  • Experience with Project and Adobe Writer.
  • Typing 40+ wpm.

Responsibilities

  • Perform administrative activities in support of team objectives.
  • Schedule meetings and arrange travel.
  • Analyze information requests and identify trends with discretion.
  • Organize, maintain and distribute files, reports and mail.
  • Write or transcribe SOPs and other documents; draft procedures/presentations/reports.
  • Distribute and track weekly/monthly reports; trend information.
  • Maintain centralized file locations and update databases.
  • Manage company credit card and reconciliation per policy.
  • Arrange logistics for meetings and team events.

Job Summary

Medline Industries has an immediate opening for a Senior Administrative Assistant supporting the Quality Leadership team (Chief Quality Officer, SVPs, VPs) based at our headquarters in Northfield, IL. Under direct supervision, provide administrative and clerical support including data entry, filing, calendar management, office supplies management, document change control and assistance in daily office activities. Collect, compile and analyze data and information. Compose straightforward written descriptions and summaries of results.

Job Description
MAJOR RESPONSIBILITIES:
  • Perform assigned administrative activities in support of individual and team objectives.
  • Schedule meetings and make travel arrangements as requested.
  • Exercise discretion and independent judgment in analyzing information requests and determining trends.
  • Organize, maintain and distribute files, reports and mail.
  • Write/transcribe SOP's and other documents. Draft procedures, presentations and reports as directed (PowerPoint, Excel, Word, etc.).
  • Distribute weekly and monthly reports. Track and trend information as directed.
  • Establish and maintain centralized locations for shared files. Maintain and update databases (e.g. complaints, discrepancies, etc.).
  • Manage assigned company credit card and the reconciliation process based on company policy.
  • Ensure food/beverages and other logistics for meetings or team events are arranged.
MINIMUM JOB REQUIREMENTS:

Education:

  • High school diploma or equivalent.

Certification / Licensure:

  • None

Work Experience:

  • At least two years of previous experience in similar role or customer service.

Knowledge / Skills / Abilities:

  • Intermediate level skill in Microsoft Access (for example: designing and creating simple queries, modifying data types, adding dates, working with required fields and/or creating labels).
  • Intermediate level skill in Microsoft Excel (for example: using SUM function, setting borders, setting column width, inserting charts, using text wrap, sorting, setting headers and footers and/or print scaling).
  • Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font).
  • Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
  • Intermediate skill level in Project, and Adobe Writer.
  • Type 40+ wpm.

The anticipated salary range for this position:

$28.75 - $41.75 Hourly

The actual salary will vary based on applicant’s location, education, experience, skills, and abilities. Medline will not pay less than the applicable minimum wage or salary threshold.

Our benefit package includes health insurance, life and disability, 401(k) contributions, paid time off, etc., for employees working 30 or more hours per week on average. For roles where employees work less than 30 hours per week, benefits include 401(k) contributions, paid time off, as well as access to the Employee Assistance Program, Employee Resource Groups and the Employee Service Corp.
