Summary:
This role oversees operational functions and performance of the Virtual Sequestration program. Responsibilities include managing customer implementation, support, and subsequent tactical tasks, ensuring seamless internal/external program operations. This position works cross-functionally with various internal teams to support seamless execution and growth of the program. The role will contribute to continuous improvement efforts aimed at enhancing program operations.
Primary Duties and Responsibilities:
- Oversees onboarding and maintenance functions of the Dedicated Virtual Warehouse program for Global Products and Solutions.
- Manages customer implementation, support, and tactical tasks to ensure seamless program operations.
- Works cross-functionally with internal teams to facilitate customer onboarding and program growth, reporting to the Implementation Manager.
- Contributes to continuous improvement initiatives to enhance onboarding and customer experience.
- Supports the Customer Success and Operations Manager in operational aspects of the program.
- Understands all aspects of the program to ensure effective management.
- Manages program implementation and customer onboarding, including customer setup, product setup, and kick-off calls, to ensure a seamless launch.
- Serves as a key contact for customer questions and issues related to the program.
- Develops and monitors standard work processes, suggesting modifications to improve productivity, efficiency, and accuracy.
- Manages complex tactical operations with support from relevant managers.
- Prepares data and KPIs for tracking customer behavior and system performance, supporting internal teams with insights.
- Creates and manages reports and dashboards to support internal and external requirements.
- Maintains communication with internal teams, leading meetings related to implementation and program growth.
- Shares customer onboarding feedback to improve the onboarding process.
- Defines and understands the technical scope and objectives of the program.
- Develops standards and procedures for reporting and documentation.
- Communicates program activities, risks, and action items clearly across teams.
- Provides training on the program to internal and external teams.
- Participates in customer and sales calls as the SME for program implementation questions.
- Attends internal meetings to stay updated on program issues and changes.
- Supports various projects within the department as needed.
- Willing to travel up to 25%, including overnight, to manage the program effectively.
- Performs other duties as assigned.
Required Skills and Qualifications:
- At least 3 years of implementation experience.
- Experience building and managing relationships at all management levels, both internally and with clients.
- Project management skills, including leading meetings, developing reports, managing project plans, and tracking issues/risk logs.
- Bachelor's Degree or equivalent experience and education.
- Experience with inventory management, supply chain, and buying operations in a health system preferred.
- Strong aptitude for learning new software and technologies.
- Ability to work independently and in cross-functional teams.
- Ability to prioritize tasks in a fast-paced environment.
- Highly detail-oriented and persistent in project completion.
- Process and change management skills.
- Excellent written and oral communication skills.
- Proficiency in Microsoft Office, especially Excel, PowerPoint, and Word.
- Knowledge of CRM tools like Salesforce.
