Job description

Our Opportunity

Charles Schwab Trust Bank, part of Retirement Business Services, provides trust and custody services for qualified retirement plans, primarily 401(k) plans. Schwab Trust Bank supports Schwab’s bundled retirement product and is an industry leader in providing trading and custody services through independent recordkeepers. Our goal is to deliver excellent service in a rapidly growing business. As a member of the Ops Control department’s Reconciliation and Reporting team, you will perform detailed reconciliations, research complex trading and distribution-related activity, and contribute to a collaborative, risk-focused team environment.

What You’ll Do

The Operations Specialist will use multiple applications to reconcile trading and distribution-related activity across various trading platforms and banking vendors. Responsibilities include documenting issues clearly and concisely, maintaining accurate procedures, and cross-training with peers to build broad functional knowledge. The ideal candidate will have experience with bank or trading reconciliations, the ability to quickly learn new functions and support coworkers, and a proven track record of completing work with a strong emphasis on accuracy and risk mitigation. This role also requires strong communication skills, sound judgment, and the ability to work effectively in a team environment while providing exemplary service to internal Client Service Managers and business partners.

  • Perform reconciliation functions with a high degree of accuracy, including in-depth research on breaks and identification of true root causes for outages.
  • Escalate issues to leadership as appropriate to help mitigate risk, including communicating team trends, process risks, and emerging concerns.
  • Maintain timely, detailed, and accurate procedures for assigned functions.
  • Collaborate effectively with team members and subject matter experts across business areas to resolve issues, answer questions, and communicate potential impacts.
  • Participate effectively in projects by taking ownership of assigned tasks, meeting deadlines, and following through on information requests and action items with minimal follow-up.
  • Perform peer reviews to support accuracy, quality, and situational awareness of emerging issues in related functions.
  • Support a strong control environment by ensuring reconciliation activities, issue documentation, procedures, and follow-up actions are complete, accurate, and audit-ready.
  • Provide clear and timely updates to leadership, internal partners, and impacted teams regarding reconciliation issues, aging items, trends, and potential business impacts.
  • Identify and recommend process improvements after gaining proficiency in reconciliation functions.
  • Train team members on assigned functions, including explaining the purpose and reasoning behind key process steps.
  • Conduct effective user acceptance testing for systems used in daily functions.
  • Track and report statistics accurately while ensuring deadlines are met.
What you have
  • College degree or equivalent banking and/or trust experience required.
  • 2+ years of brokerage, transfer agent, bank, or trust operations experience required.
  • 2+ years of risk and analysis experience preferred.
  • Ability to work in a fast-paced environment, both independently and as part of a team.
  • Strong ability to prioritize daily responsibilities while managing multiple deadlines and high volumes of work.
  • Detail-oriented, with strong analytical, research, and communication skills.
  • Strong sense of ownership for assigned functions and willingness to research complex issues.
  • Advanced working knowledge of Microsoft Office applications.
