Job Summary
The Rights and Reproductions Coordinator serves as a proactive ambassador for Special Collections, UTA Libraries, and the University by providing extraordinary customer experiences for the UTA Community, guests, partners, and colleagues. This role is responsible for providing access to Special Collections materials through facilitating rights/reproduction requests and reference requests, coordinating with University partners in the operation of the cold/cool storage vaults, and performing archival activities for collections located in cold/cool storage.
Essential Duties And Responsibilities
- Rights and Reproductions
- Coordinates and communicates with customers to fulfill reproduction requests.
- Evaluates and approves digitization requests based on purpose, time constraints, available resources, and Copyright restrictions.
- Manages financial transactions for all SPCO rights and reproduction orders.
- Ensures customer completes all required paperwork to process digitization requests and maintains completed paperwork.
- Collections and Access
- Collaborates with university partners in the operation of the cold/cool storage vaults.
- Performs a variety of archival activities for collections located in cold/cool storage under the guidance of the Archives Unit Manager.
- Supervises student employees assisting with duties related to the collections located in the cold/cool storage vaults.
- Reference
- Facilitates the completion of SPCO reference requests including virtual or in-person requests.
- Works assigned on-call shifts at the SPCO reference desk and occasional Saturday hours.
- Organizational and Professional Engagement
- Engage in ongoing professional development initiatives to maintain and enhance skills.
- Collaborates on cross-departmental Libraries’ initiatives.
- Performs other duties assigned.
Minimum Qualifications
- Bachelor’s degree in a related field.
- Three (3) years of related experience or an equivalent mix of education and relevant experience in similar role
- Proficiency and experience in use of scanning equipment.
Preferred Qualifications
- Master’s degree in related field.
- Three (3) years of related experience.
- Familiarity with Copyright law.
- Experience reformatting materials from analog to digital format.
- Experience working in a library or archival setting.
Knowledge, Skills and Abilities
- Project planning and management skills, involving designing, leading, and completing a project within its intended scope and timeline.
- Ability to effectively lead, cultivate, and empower staff.
- Excellent communication and interpersonal skills with the ability to interact professionally with individuals at all levels of the organization.
- Ability to work collegially and collaboratively with people of different backgrounds in a team-based environment.
- Professional organizational and time management skills with the ability to prioritize and manage multiple tasks effectively.
- Ability to analyze situations and make sound decisions.
- Advanced customer service skills.
- Proficiency with Microsoft Office products (Word, Excel, Outlook, Teams, OneDrive/SharePoint), Adobe Creative Cloud (specifically Photoshop), and other common office software.
Other Requirements Working Conditions
This position will include non-traditional work hours such as nights, weekends, and holidays depending on the needs of the university community, customers, donors/prospective donors, and other stakeholders for Special Collections. Flexibility is required to ensure the department is appropriately staffed in order to satisfy all service needs. Professional development, conferences, and training may require travel and/or overnight accommodations. Exposure to standard office conditions. Repetitive use of a keyboard at a workstation. Manual dexterity. Climbing stairs or ladders, lifting and moving boxes up to 40 lbs.
