Job summary

Apex is seeking a detail-oriented Proposal Development Associate to support the Proposal Development team. You will manage calendars, trackers, and meeting minutes, ensuring timely, high-quality outputs while aligning with policy and quality standards.

In a fast-paced environment, you’ll juggle multiple priorities, communicate clearly across teams, and contribute to process improvements that drive on-time proposals and strong collaboration with engineering, BD, and marketing.

Qualifications

• 2+ years of administrative experience supporting a team.
• Experience working with cross-functional teams under tight deadlines.
• Meticulous, proactive, and highly organized.
• Efficient at typing/word processing and clear communicator.
• Coachable and team-oriented; able to accept feedback.

Responsibilities

• Manage Proposal Team calendar of meetings, deadlines, and submission schedules.
• Maintain response trackers and summary sheets.
• Compile accurate and detailed meeting minutes for kickoff and status checks.
• Update team process documentation and ensure guidelines are followed.
• Outreach to stakeholders on proposal projects to mitigate risk.
• Develop a work cadence demonstrating efficiency, quality, and collaboration.
• Align work with established guidelines and quality standards.
• Produce high-caliber work on time, every time.
