Job summary

Apex Technology, Inc. is seeking a Proposal Development Associate in Los Angeles. You will support the Proposal Development team by managing calendars, trackers, and meeting minutes, ensuring on-time output and adherence to quality standards.

You will wear many hats as you navigate multiple priorities and collaborate with engineering, BD, and marketing to win work. The role rewards attention to detail, proactive organization, and strong communication, with opportunities to grow domain expertise

Qualifications

• 2+ years of administrative experience supporting a team.
• Experience collaborating with engineering, BD, marketing under tight deadlines.
• Meticulous, proactive, and highly organized.
• Efficient at typing/word processing.
• Clear communicator in person, async, or virtual.
• Coachable and team-oriented; receptive to feedback.
• Exceptional organizational skills; can manage multiple deadlines.
• Direct experience in spacecraft or adjacent markets is a plus.

Responsibilities

• Manage Proposal Team calendar of meetings, deadlines, and submission schedules.
• Maintain response trackers and summary sheets.
• Compile accurate meeting minutes for kickoff and status checks.
• Update team process documentation and ensure it is followed.
• Proactively outreach to stakeholders on proposal projects to mitigate risk.
• Develop a work cadence demonstrating efficiency, quality, and collaboration.
• Align work with guidelines and quality standards.
• Produce high-caliber work on time, every time.
