Job summary

Woodhouse Spa - Highland Park is launching a first-of-its-kind front desk operation. As the founding Lead Spa Concierge, you will set up the front desk from scratch, shape guest greeting and care, and partner daily with the Spa Director to build a premium guest experience.

You’ll manage front desk operations, retail, guest flow, VIP requests, and staff coordination with a focus on hospitality excellence and brand standards. This role offers growth potential within a luxury spa brand.

Qualifications

• High school diploma or equivalent required.
• Experience in front-office operations or customer service a plus.
• Excellent verbal communication and interpersonal skills.
• Ability to multitask in a fast-paced hospitality setting.

Responsibilities

• Front desk operations, retail, and guest experience management.

• Answer calls and direct messages; manage messages accurately.
• Escort guests to lounges and treatment spaces.
• Provide spa tours and refreshments during visits.
• Maintain VIP/quiet rooms clean and tidy.

• Keep guest and staff appointment data accurate.
• Support opening/closing procedures and emergency procedures.

Be Part of Something New on Chicago’s North Shore

Woodhouse Spa is a luxury day spa brand with more than 100 locations nationwide — and we’re bringing it to the North Shore for the first time. As our founding Lead Spa Concierge, you own the first and last impression every guest has of us. You’ll set up the front desk from scratch, shape how our team greets and cares for guests, and work alongside the Spa Director every day. The owners work in the spa day to day as true partners, not a distant corporate office.

What You’ll Do

• Front desk operations, retail, and guest experience: guest appointments, check-in and check-out, and all internal and external communications and Retail.
• Greet every guest promptly and graciously, read their true needs, and deliver an exceptional experience, support VIP events and special guest requests.
• Answer and direct incoming calls; take and distribute messages accurately
• Escort guests and VIPs from check-in to changing lounges to quiet rooms pre and post treatments.
• Provide Spa tours
• Furnish guests with refreshments, snacks, and luxury wellness items during their experience.
• Ensure the VIP and quiet rooms are clean and tidy at all times.
• Manage mail, packages, and online gift card sales
• Keep guest and staff contact information and appointments accurate
• Support daily closing or opening procedures
• Know emergency procedures and alarm systems, and serve as point of contact in an emergency
• Attend training and participate in professional development
• Be a steward of the Woodhouse brand and Woodhouse standards

What We’re Looking For

• High school diploma or equivalent
• Experience in a similar role or in front-office operations a plus
• Previous customer service, telephone reservations, or hospitality experience a plus
• Excellent verbal communication and interpersonal skills
• Strong time management and organizational skills
• Excellent computer skills — Word, Excel, Outlook, PowerPoint, and point-of-sale platforms
• Basic accounting skills for daily closing procedures
• Able to pivot and stay professional in a fast-paced environment
• Regular, consistent attendance and flexibility to work holidays and weekends.

Physical Requirements

• Able to stand and bend over for extended periods
• Able to lift up to 45 lbs.
