Qualifications

• 2+ years of experience in construction, engineering coordination, or related administrative/project support role.
• Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook).
• Experience with Salesforce.com or similar CRM/project management tools preferred.
• Excellent written and verbal communication skills - professional, courteous, and solution-oriented.
• Strong organizational and time management abilities with the capacity to handle multiple priorities efficiently.
• High attention to detail and accuracy in document handling.
• Proven ability to work collaboratively in a team environment while maintaining accountability for individual deliverables.
• Positive attitude, adaptability, and a commitment to delivering excellent internal and external service.

Responsibilities

• Coordinate and manage requests for engineering letters, affidavits, and related documentation.
• Track and follow up with engineering partners to ensure timely completion of all required materials.
• Upload and organize documentation accurately within company systems and partner engineering platforms.
• Communicate professionally with vendors, engineers, project managers, and fellow team members to ensure seamless information flow.
• Monitor document status and timelines, proactively addressing delays or missing items to prevent project bottlenecks.
• Maintain accurate records and ensure that all documents are properly formatted and accessible to relevant stakeholders.
• Collaborate cross-functionally with permitting, engineering, and operations teams to support efficient project progression.
• Contribute to continuous improvement efforts by identifying opportunities to streamline workflows and improve turnaround times.
