Job summary

MARS Builder Solutions is seeking a highly organized Sales Operations Specialist to support the sales team by coordinating bid opportunities, maintaining project documentation, and ensuring contracts and warranties are processed accurately and efficiently.

This role partners with Estimating, Compliance, and Operations to deliver a seamless experience for builder partners, manage CRM/ERP records, and provide exceptional customer service.

Qualifications

• 2+ years in sales operations, project coordination, or related roles.
• Strong organizational skills with high attention to detail.
• Excellent written and verbal communication.
• Able to manage multiple priorities and meet deadlines in a fast-paced environment.
• Proficiency with Microsoft Office (Outlook, Excel, Word).
• CRM and ERP experience preferred.
• Experience in roofing/construction/residential homebuilding preferred.
• Familiarity with bid processes, contracts, construction docs, or estimating software a plus.

Responsibilities

• Receive, review, and process incoming bid invitations and opportunities from builder partners.
• Create and maintain organized project folders for each bid opportunity.
• Maintain accurate sales opportunity records within the CRM, including activity tracking and pipeline reporting.
• Coordinate with Estimating to meet bid deadlines and builder timelines.
• Prepare, distribute, and track customer contracts through signatures.
• Coordinate with Compliance to ensure all required project documentation is complete.
• Register manufacturer warranties and coordinate warranty documentation upon project completion.
• Provide administrative and operational support to the Sales team.
