Job summary

Bear Construction is seeking a Renewable Energy Project Coordinator to provide administrative, financial, and project coordination support for utility-scale, commercial, and distributed renewable energy projects. This role works closely with project managers, engineers, field personnel, utility providers, vendors, and subcontractors to ensure execution from pre-construction through closeout.

Qualifications

• Administrative or project coordination experience, preferably in construction, energy, or engineering projects.
• Understanding of basic cost tracking and accounting principles.
• Highly organized with exceptional attention to detail and follow-through.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Strong customer service and communication skills with internal and external stakeholders.
• Proficiency in Microsoft Office (Excel, Outlook, Word, Teams).
• Experience with project management software or ERP systems is preferred.

Responsibilities

• Support project management team, field personnel, subcontractors, utility companies, and office staff for successful solar and renewable energy project execution while ensuring accuracy, compliance and efficiency.
• Coordinate startup activities: collect and distribute required contract documents, permits, interconnection docs, insurance certificates, and compliance records.
• Maintain organized project files and electronic document control systems for permits, agreements, drawings, contracts and correspondence.
• Assist with project billing: gather supporting docs, track costs, process invoices, and support owner billing requirements.
• Assist weekly payroll processing, including certified payroll reporting and prevailing wage documentation when required.
• Coordinate project schedules and facilitate communication among managers, engineers, subcontractors, vendors, utilities, and field teams.
• Track milestones related to permitting, interconnection, procurement, inspections, commissioning and closeout.
