BEAR Construction Company is seeking a Renewable Energy Project Coordinator to provide administrative, financial, and project coordination support for solar and renewable energy projects in Rolling Meadows, IL. Qualifications

• Administrative or project coordination experience in construction, energy, infrastructure, or engineering projects.
• Strong organizational skills and exceptional attention to detail.
• Ability to manage multiple priorities and deadlines in a fast-paced environment.
• Proficient in Microsoft Office Suite (Excel, Outlook, Word, Teams).

Responsibilities

• Support the Project Management team, field personnel, subcontractors, utility companies, and office staff to ensure successful execution of solar and renewable energy projects.
• Coordinate project startup activities: documents, permits, interconnection documentation, insurance certificates, bonding information, prevailing wage requirements, and customer compliance documents.
• Maintain organized project files and document control systems; track permits, drawings, contracts, and correspondence electronically.
• Assist with project billing activities: documentation collection, cost tracking, and processing invoices.
• Assist with weekly payroll processing, including certified payroll reporting when required.
• Coordinate project schedules and facilitate communication among project managers, engineers, subcontractors, vendors, utility providers, AHJs, and field teams.
• Track critical milestones: permitting, interconnection, procurement, inspections, commissioning, closeout.
• Maintain project logs: RFIs, Change Orders, Submittals, Equipment Deliveries, Utility Correspondence, Inspections, Commissioning docs.
• Assist with procurement activities: purchase orders, equipment tracking, material deliveries, and vendor coordination for solar components.
• Coordinate permit submissions, utility applications, inspections, and closeout documentation for energization.
• Collaborate with vendors, manufacturers, utility companies, and subcontractors to ensure timely documentation completion.
• Support renewable energy project reporting and compliance: incentives, tax credits, RECs, sustainability initiatives.
