Job Overview

This position welcomes and assists patients, their families and visitors entering the health center, answers phone calls, maintains health records, assists providers with patient care, and performs general administrative duties in accordance with CLIA, NCQA, PCMH, government standards and company policies.

Key Responsibilities
  • Clerical duties
    • Checks patients in and out of the health centers.
    • Greets visitors, determines nature of business, and refers them to appropriate personnel.
    • Maintains waiting room safety and informs Safety Coordinator.
    • Enters new patient data into EHR, verifies insurance and ensures authorizations are received.
    • Verifies charges at check‑out and accepts payments.
    • Processes billings and payments, prepares nursing home billings for monthly visits, matches daily batch report with schedule, corrects entries, and balances receipts at end of day.
    • Maintains health records, reviews records for completeness, maintains indexes, retrieves records, and trains clerical staff.
    • Schedules patient appointments, contacts patients for rescheduling, confirms demographics, sends enrollment packets, no‑show letters, assists clinic staff with referrals, and reschedules patient load for providers.
    • Operates telephone and paging system, answers calls, directs callers, makes collections calls.
  • Clinical duties
    • Supports and assists clinical providers and professionals.
    • Participates in huddles with provider and care team, identifies scheduling opportunities and special needs, and manages missed appointments.
    • Screen and respond to patient phone messages timely, collaborate with provider, and document communications.
    • Provides complete patient assessment, gathers vitals, performs pre‑examination procedures, and documents assessments accurately.
    • Reconciles medications and allergies, updates medication module, and renews medications per provider orders.
    • Assists in all aspects of patient consultation, treatment, procedures, and follow‑up care within scope of practice.
    • Executes medical regimens, monitors inventory, performs procedures such as I.V. catheter insertion, phlebotomy, ECG, urinalysis, pregnancy testing, lab tests, and other tests directed by provider.
    • Prepares and administers medications, immunizations, and injections, cleans and sterilizes equipment, and performs diagnostic tests as instructed.
    • Recognizes and responds to emergency situations, seeks assistance, and intervenes appropriately.
    • Delivers patient education on use of equipment, injections, wound dressing, etc.
    • Handles general tasks such as answering phones, taking messages, scheduling appointments, arranging referrals, and checking email.
    • Initiates communication with patients and families, shares ideas and information with colleagues, and develops skills of new employees.
    • Ensures timely completion of prior authorization forms for medications, testing, and referrals.
  • General responsibilities
    • Ensures accurate recording of attendance and hours worked and properly manages paid vacation and sick leave.
    • Maintains confidentiality of protected health information and safeguards patient data.
    • Consistently adheres to organization rules, regulations, and policies.
    • Participates in departmental meetings.
    • Accepts and performs additional job‑related duties, projects, and responsibilities as required.
Required Training and Experience
  • Secure reliable transportation for timely work attendance at all sites.
  • Possess a current Basic Cardiac Life Support (BCLS) CPR certification or obtain it within six months of start.
  • Preferred: Possess and maintain Medical Assistant Certification/Registration or Licensed Practical Nurse Licenses.
  • Proficiency in Word and Excel.
  • Experience using Electronic Health Records systems.
