Job summary

Position

Site Support Staff - Float

Your Valued Contributions (Responsibilities)
  • Welcomes and assists patients, their families and visitors entering the health center; answers questions and provides information to create a caring yet efficient atmosphere.
  • Operates the phone system for incoming, outgoing, and interoffice calls and schedules appointments for multiple sites.
  • Maintains health records according to established health center procedures.
  • Assists providers in the administration of patient care in assigned clinical areas; assists in examinations, procedures, diagnostic studies, and treatment under direction of a Medical Provider.
  • Performs general administrative duties in accordance with CLIA, NCQA, PCMH, government standards and company policies.
Clerical
  • Checks patients in and out of the health centers; greets visitors and directs them to appropriate personnel.
  • Maintains waiting room safety and informs Safety Coordinator.
  • Enters new patient data into EHR, verifies insurance and ensures appropriate authorizations are received.
  • Verifies providers’ charges at checkout and accepts payments.
  • Processes billings and payments; prepares nursing home billings when applicable and matches daily batch reports to schedules.
  • Responds to patient questions regarding accounts and documents conversations in notes; makes corrections or postings in the Receivable module as needed.
  • Verifies and balances daily entries and deposits; ensures accuracy of daily deposits and labels deposits for the designated site at end of day.
  • Maintains and retrieves health records; trains clerical staff in health record processing.
  • Schedules patient appointments, sends enrollment packets to new patients, and sends no-show letters; assists clinic staff with referrals, collections, and setting up medical consultations.
  • Operates telephone and paging systems and conducts in-house announcements as needed.
Clinical
  • Supports and assists clinical providers and professionals; participates in huddles with provider and care team.
  • Screens and responds to patient phone messages; documents task communications in EMR and coordinates with providers.
  • Provides complete patient assessments, including vital signs and pre-examination procedures; collects information needed for identification and treatment of medical problems.
  • Documents data and assessments in the patient record; uses IT to ensure standard documentation and compliance with laws and policies.
  • Reconciles medications and allergies at every visit; updates medication and allergy lists per provider orders.
  • Assists in diagnosis-related tasks with provider direction; executes medical regimens and monitors inventory as appropriate for the setting.
  • Maintains cleanliness and safety of work areas; follows universal precautions and infection control practices.
  • Provides patient health counseling and instruction in collaboration with the provider.
  • Maintains awareness of UDS measures, MQIC guidelines, HEDIS measures, BCBS and NCQA PCMH standards; uses referenced guidelines and manuals as resources.
  • Performs routine medical tasks within scope of license, including basic nursing care, injections, phlebotomy, ECGs, urinalysis, pregnancy testing and related lab tasks as directed by the provider.
  • Prepares and administers medications, immunizations, and injections under provider direction; maintains equipment and sterilization accuracy.
  • Conducts designated diagnostic tests as directed; responds to emergencies appropriately and notifies the appropriate personnel.
  • Provides detailed patient education to patients and families as part of prescribed teaching plans.
  • Handles general tasks such as answering phones, scheduling, processing referrals, and coordinating with other departments to meet patient needs.
General
  • Attendance: ensures accurate recording of hours; manages paid leave and maintains reliable attendance.
  • Maintains confidentiality of protected health information and adheres to organization policies.
  • Attends departmental meetings and performs other job-related duties as required.
Required Training And Experience
  • Ability to secure transportation for reliable attendance at multiple sites as needed.
  • Current Basic Cardiac Life Support (BCLS) CPR certification or obtain within 6 months of start.
