Behind the Design, a luxury home design showroom in Laguna Niguel, CA, seeks a Showroom Coordinator to manage operations, client relationships, and project pipelines on-site. The role supports designers, installers, and vendors to deliver an exceptional client experience.

Expect field work 2–3 installations weekly, CRM oversight, and showroom coordination. Ideal candidates bring 2+ years in operations or project coordination, strong communication, and a track record serving high-end clients.

Qualifications

  • 2+ years of experience in operations, project coordination, client success, office management, or business operations.
  • Proven ability to manage multiple projects simultaneously.
  • Exceptional written and verbal communication skills.
  • Experience serving high-end or luxury clientele.
  • Advanced organizational and time management skills.
  • Proficiency with technology across the board (various platforms, and AI).
  • Social Media savvy.
  • Ability to make independent decisions with confidence and integrity.
  • Valid driver's license and reliable vehicle.
  • Physical ability to move around, walk, drive, and carry 30-50 lbs regularly.

Responsibilities

  • Lead generation and client management.
  • Manage CRM pipeline with accuracy and attention to detail.
  • Follow up on proposals and monitor lead response times.
  • Collect client satisfaction feedback and referrals.
  • Provide sales support as needed.
  • Oversee active projects to ensure timely completion and quality standards.
  • Communicate project status to clients throughout the lifecycle.
  • Proactively identify and resolve issues before they escalate.
  • Coordinate with interior designers, installers, workrooms, and vendors.
  • Review daily KPIs, metrics, and project status.
  • Manage warranty and service requests.
  • Conduct field work at installations.
  • Capture professional project photos and videos.
  • Welcome clients at the showroom and provide consultations.
  • Handle sample delivery, client coordination, and errands.
  • Lead weekly operations meetings.
  • Improve internal workflows and SOPs.
  • Identify bottlenecks and improvements to increase efficiency.
  • Maintain records in CRM and project management systems.
  • Support designer events and networking.
  • Assist showroom maintenance.

We are a luxury home design showroom serving high-end residential clients and interior designers throughout Orange County and Los Angeles. We specialize in premium window treatments and home furnishings for luxury properties, working with distinguished interior designers and discerning homeowners.

The Role

We're seeking a dynamic, detail-oriented Showroom Coordinator to manage our operations, client relationships, and project pipeline. You'll be the operational backbone of our business, ensuring seamless communication between clients, designers, installers, and vendors while delivering an exceptional luxury customer experience.

Job Type: Full-Time, On-Site

What You’ll Do:

Lead Generation and Client Management

  • Respond promptly to new leads and schedule client consultations
  • Manage and maintain CRM pipeline with accuracy and attention to detail
  • Follow up on proposals and monitor lead response times
  • Collect client satisfaction feedback and referrals
  • Provide sales support as needed

Project Coordination

  • Oversee active projects to ensure timely completion and quality standards
  • Communicate project status to clients throughout the entire lifecycle
  • Proactively identify and resolve issues before they escalated
  • Coordinate with interior designers, installers, workrooms, and vendors
  • Review daily KPIs, metrics, and project status

Field Operations

  • Conduct field work at 2-3 installations per week
  • Capture professional before, during, and after project photos and videos
  • Welcome clients at the showroom and provide consultations
  • Handle sample delivery, client coordination, and errands

Systems and Process Improvement

  • Lead weekly operations meetings
  • Improve internal workflows and standard operating procedures
  • Identify bottlenecks and recommend improvements to increase efficiency
  • Maintain accurate records in CRM and project management systems

Additional Duties

  • Support designer events and networking (2-5 per year)
  • Assist with showroom maintenance ensuring the space is clean and organized
