Job description

We are seeking a highly organized, detail-oriented, and proactive Showroom Coordinator to support sales, merchandising, showroom operations, and customer experience within a fast-paced fashion environment. This individual will play a key role in maintaining showroom organization, sample management, logistics coordination, and sales support while ensuring smooth day-to-day operations.

Position Summary

The Showroom Coordinator will oversee showroom presentation, sample inventory management, shipping coordination, customer support, and administrative assistance to the sales team. The ideal candidate thrives in a deadline-driven environment, is highly organized, and enjoys working cross-functionally with both product and people.

Key Responsibilities
Showroom Management
  • Maintain showroom organization and presentation at all times
  • Ensure collections, samples, fixtures, and displays are properly merchandised
  • Prepare showroom for buyer appointments, market weeks, and special events
  • Coordinate setup and breakdown of seasonal collections and presentations
  • Manage showroom calendars and appointment scheduling
Sample Management
  • Receive, organize, tag, and track incoming samples
  • Maintain accurate inventory and tracking systems
  • Coordinate seasonal sample requests and allocations
  • Conduct inventory audits and sample reconciliation
  • Monitor missing, damaged, or delayed samples and follow up accordingly
  • Maintain showroom storage areas and sample archives
Shipping & Logistics
  • Coordinate inbound and outbound sample shipments
  • Track shipments and ensure timely delivery and returns
  • Maintain shipping records and documentation
  • Partner with carriers and logistics providers to support operational efficiency
  • Support the sales team during appointments and customer meetings
  • Assist with line sheets, pricing materials, order forms, and sales tools
  • Coordinate sample requests and account follow-up
  • Assist with seasonal market preparation
Customer & Administrative Support
  • Welcome buyers, customers, and visitors to the showroom
  • Coordinate meeting setup, hospitality, and showroom experience
  • Order and maintain office and showroom supplies
  • Support reporting, data entry, and administrative projects
  • Partner cross-functionally with sales, merchandising, marketing, and operations teams
Qualifications
  • 1–3 years of experience in fashion, showroom, wholesale, retail, or related industry
  • Strong organizational, multitasking, and communication skills
  • High attention to detail and follow-through
  • Proficiency in Microsoft Office, Excel, Outlook, and Google Workspace
  • Ability to manage multiple priorities in a fast-paced environment
  • Positive, team-oriented attitude with strong customer service skills
Preferred Qualifications
  • Fashion showroom or wholesale experience
  • Sample management and inventory coordination experience
  • Shipping and logistics coordination background
  • Customer service, hospitality, or visual merchandising experience
  • Experience supporting market weeks or trade shows
