Job summary

Envision Cold in Minnesota is seeking a Shipping & Receiving Coordinator to represent our logistics operations, ensure accurate inventory, timely deliveries, and compliant procedures in a fast-paced environment. You will verify shipping data, prepare documents, provide tracking updates, sign drivers in/out, coordinate with carriers, and maintain records in the WMS, with a focus on efficiency and accuracy.

This role is typically a 1st shift (8 AM–5 PM, Mon–Fri), with peak-season overtime

Responsibilities

• Verify shipping and receiving information, prepare documents, and process freight paperwork.
• Ensure outgoing orders are correctly packed, labeled, and meet requirements.
• Provide customers with tracking information and shipping updates.
• Sign drivers in and out and direct carriers to dock doors.
• Update in the warehouse management system (WMS) or inventory system.
• Communicate with carriers to optimize shipping and delivery.
• Provide regular reports on inventory, shipments, and receiving processes.
• Organize and prioritize workload to meet tight deadlines.
• Perform other duties as assigned.

Description

As a Shipping & Receiving Coordinator, you will represent Envision Cold to our drivers, customers and staff. Able to work in a fast-paced environment, you will aid in maintaining accurate inventory levels, ensuring timely deliveries, addressing any shipping or receiving issues, and ensuring compliance with safety and quality standards.

This role is typically a 1st Shift (8:00AM - 5:00PM Mon - Fri). However, during peak season, particularly October - December, your shift will likely fluctuate and require you to work overtime both during the week as well as Saturdays and/or Sundays. Anticipate hours during busiest weeks may be upwards of 60/hours per week.

What you’ll do (including, but not limited to):

• Verify shipping and receiving information, prepare documents, process freight bills, packing sheets, and other necessary paperwork.
• Ensure that all outgoing orders are accurately prepared for shipping, including packing, labeling, and ensuring they meet any specific requirements.
• Provide customers with tracking information, shipping updates, and any issues regarding deliveries.
• Sign drivers in and out.
• Direct carriers to dock doors upon arrival and update in system to ensure accuracy upon unloading/loading of goods and materials.
• Ensure that all received items are properly recorded in the warehouse management system (WMS) or inventory system.
• Communicate with carriers to establish efficiency with shipping and delivery of products.
• Provide regular reports to management regarding inventory, shipments, and receiving processes, highlighting any issues that need resolution.
• Organize and prioritize workload, working with tight deadlines.
• Perform other duties as assigned/needed.

Requirements

• Must be 18 years or older.
• Shipping and Receiving experience required.
• Outstanding organizational skills with great attention to detail.
• Fluency with the English language, both verbal and written.
• Good attendance record and good work ethic.
• Ability to prioritize needs and reassess business demands.
• Capable of working in a very fast-paced and ever-changing day-to-day operation while being able to stay on task and multi-task as needed.
• Proficient computer skills, including experience with WMS, Excel, Outlook and Word.
