Job summary

Quincy Compressor in Bristol, US, seeks a Service Planner to schedule and support shop and field repairs for compressed air equipment. You will liaise among the Service Manager, Technicians, Parts Specialist, and customers, reporting to the Planning Manager.

You will manage service orders, update customers, handle labor records, and coordinate parts and travel. The role blends office work with field activity and requires overtime as needed.

Qualifications

  • High school diploma or equivalent (required) or Associate's degree in a relevant field.
  • Service coordination experience in an industrial service industry.
  • Knowledge of parts and maintenance for air compressors or similar machinery.
  • Customer service experience.
  • Proficient with Microsoft Word and Excel.
  • Experience with SAP and MAM preferred.
  • Able to move about the facility and lift up to 60 pounds.
  • Able to work in extreme temperatures and loud environments.
  • Occasional elevation work and forklift use.
  • Office/warehouse/field mix; potential customer sites.
  • Willing to work overtime and weekends.

Responsibilities

  • Schedule and support all shop and field service repairs of compressed air equipment and provide updates to the Service Manager and customers.
  • Coordinate activities of the Service Department with the Service Manager.
  • Act as liaison between Service Manager, Technicians, Parts Specialist and customers.
  • Report to the Planning Manager.
  • Receive incoming calls for service, schedule repairs in the system.
  • Provide regular updates to customers on service status.
  • Maintain service orders and facilitate closing of invoiced orders.
  • Review and maintain labor records for Technicians.
  • Prepare credit notes and manual invoices for Service Manager approval.
  • Place and expedite parts orders as needed.
  • Complete administration for element returns.
  • Report completed service jobs and issues to the Service Manager daily.
  • Maintain service files, contracts, orders, customer history, employee records, expenses, and vacation requests.
  • Coordinate travel for Technicians and regional service meetings/trainings.
  • Coordinate installation of new equipment with Sales.
  • Support Quincy branding with customer-focused service.

Your Role

Your mission as a Service Planner is schedule and provide support for all shop and field service repairs of compressed air equipment, and provide regular updates to the Service Manager and the customer. You will work with the Service Manager to coordinate the activities of the Service Department. You will be the information liaison between the Service Manager, Service Technicians, Parts Specialist, and customers. You will report to the Planning Manager.

  • You will receive incoming calls for service of compressed air equipment and schedule all shop and field service repairs in computer system.
  • You will provide regular updates to customers regarding service that is in process.
  • You will maintain (edit as needed) scheduled service orders in computer system (including both manual orders and service contracts) and facilitate the closing of service orders approved for invoicing.
  • You will review and maintain labor records for Service Technicians.
  • You will prepare credit notes and manual invoices for review by the Service Manager.
  • You will place orders for parts required to complete service orders, and work to expedite the delivery of these orders, as needed.
  • You will complete administrative requirements for element return function.
  • You will report completed service jobs and/or problem areas on a daily basis to the Service Manager.
  • You will maintain service files, including Service contracts and related agreements, open orders, customer history, service employee records, expense reports, and vacation requests.
  • You will coordinate travel arrangements for Service Technicians and local/regional service meetings and training courses.
  • You will coordinate the installation of new compressed air equipment with Sales.
  • You will contribute to positive Company branding by projecting a knowledgeable and customer-oriented image to customers.
  • You will perform all responsibilities in accordance with Quincy standards, while trying your best to understand the needs and expectations of the customer.
Your skills and experience
  • You have a High School diploma or equivalent (required) or Associate's degree in relevant field.
  • You have service coordination experience in an industrial service industry.
  • You have knowledge of parts and maintenance for air compressors or similar machinery.
  • You have customer service experience.
  • You know Microsoft Word and Excel.
  • You have experience with SAP and MAM (preferred).
  • You can move about the facility (standing, walking) and customer sites, varying by location.
  • You can lift, carry, or otherwise move and position objects weighing up to 60 pounds.
  • You can be frequently exposed to work conditions in extreme temperatures and/or loud environments.
  • You can occasionally work in elevated areas and frequently a forklift.
  • You can work in a mostly-office environment with some warehouse or workshop environment, and possible customer site visits in the field.You may be exposed to a field service environment at customers’ jobsites.
  • You can work overtime and weekends as needed.
