VIP Systems in Miramar, FL is seeking a highly organized Service Department Coordinator to oversee daily operations for electrical and low-voltage service. You will coordinate service requests, schedule technicians, manage tickets, and ensure accurate documentation.

The role requires at least 2 years in service coordination or similar, experience with electrical/low-voltage projects preferred, and strong communication skills.

Qualifications

• Minimum 2 years of experience in service coordination, dispatching, or similar roles.
• Experience with electrical or low-voltage service contractors is highly preferred.
• Strong scheduling, communication, and documentation skills.

Responsibilities

• Receive and process service requests via phone, email, and portals.
• Create, prioritize, and manage service tickets from initiation through completion.
• Schedule and dispatch technicians based on location, availability, expertise, and priority.
• Coordinate technician arrival times with customers, property managers, and facility personnel.
• Monitor daily schedules and adjust assignments as priorities change.
• Respond quickly to emergency and high-priority service requests.
• Serve as the primary point of contact for service customers.
• Provide timely updates on arrival times, progress, and completion.
• Coordinate follow-up visits when additional materials or approvals are required.
• Maintain professional, responsive communication throughout the service process.
• Track all open service tickets to ensure timely completion.
• Collect technician reports, labor hours, photos, and material usage.
• Review service documentation for completeness before closing orders.
• Maintain accurate customer, equipment, and service history records.
• Prepare service proposals, quotations, and work orders.
• Coordinate purchasing and delivery of materials for service calls.
• Assist with warranty claims and manufacturer support requests.
• Support invoicing by verifying labor, materials, and service documentation.
