Service Coordinator Position Summary
The Service Coordinator provides administrative, operational, and program support to the Educational Opportunities and Hire Gulf Coast Youth teams. This position helps coordinate supportive services, monitor FACS issues, maintain tracking systems, prepare reports, and support timely communication between program staff and management. Its primary function is to support program operations, promote timely service delivery, and help ensure staff follow established procedures and deadlines.
Essential duties and responsibilities
Daily Operations
- Deliver timely, professional, and responsive service to customers, program staff, supervisors, and management.
- Assist customers with questions regarding supportive service requests, pending documentation, processing updates, and other program-related matters.
- Monitor the Educational Opportunity (Ed Opps) shared inbox daily and ensure responses are provided within one (1) business day.
- Provide administrative and operational support to Ed Opps leadership and program management.
- Schedule meetings, maintain program calendars, prepare meeting materials, and document meeting notes and action items.
- Support management with scheduling interviews, coordinating meetings, facilitating team communications, and maintaining operational task tracking.
- Coordinate with supervisors, management, and relevant departments when issues require escalation or additional assistance.
- Review and monitor open, pending, and unresolved FACS issues for the Educational Opportunities and HGCY teams.
- Assist with maintaining shared files, spreadsheets, documentation logs, and other internal tracking mechanisms.
- Maintain a customer-centered approach while following program policies and confidentiality requirements.
- Demonstrate patience, empathy, and professionalism when addressing concerns or complaints.
- Escalate overdue requests, recurring documentation issues, and other concerns affecting customer services.
Supportive services coordination
- Review supportive service requests for completeness, accuracy, required documentation, and alignment with applicable program policies.
- Verify that requests include the necessary justification, supporting documents, and required staff actions.
- Identify missing information, discrepancies, overdue items, and trends requiring management attention.
- Escalate overdue requests, recurring documentation issues, and other concerns affecting customer services.
Qualifications
- High school diploma or GED required; associate degree preferred.
- Strong organizational, administrative, and time-management skills.
- Ability to review documentation for accuracy, completeness, and policy alignment.
- Ability to monitor multiple requests, deadlines, and follow-up activities simultaneously.
- Proficiency with Microsoft Excel, Outlook, Teams, and shared electronic tracking systems.
- Ability to prepare reports, maintain spreadsheets, and communicate findings clearly.
- Strong written and verbal communication skills.
- Ability to identify issues, prioritize workload, and elevate concerns when appropriate.
- Familiarity with workforce development programs, supportive services, and case management processes preferred.
- Experience with FACS, workforce systems, or similar program tracking platforms preferred.
- Ability to work collaboratively with multiple teams while maintaining confidentiality and professionalism.
