Job summary

Pico Propane is seeking a proactive Service Coordinator for our Fort Lauderdale location. You will schedule service appointments, set up new accounts, and support billing, collections, and permitting with accurate information.

You will interact with customers, contractors and homeowners, manage work orders, ensure timely billing, and coordinate permits for installations and projects while keeping Cargas accounts current.

Qualifications

• High school diploma or equivalent.
• Minimum 2 years of customer service experience.
• Experience in oil/propane industry or HVAC/construction preferred.
• Notary Public commission preferred.

Responsibilities

• Schedules service appointments and dispatches as needed.
• Sets up new customer accounts and maintains records.
• Assists with billing, collections and permitting processes.
• Coordinates site surveys and project-related permits.
• Maintains accurate account information and communicates clearly with customers.

The Service Coordinator plays a key role in scheduling service appointments, setting up new accounts, and supporting billing, collections, and permitting, in addition to keeping systems up to date with accurate and current information.A successful Service Coordinator should have strong interpersonal communication skills with a customer-first mindset, and be highly self-sufficient and goal oriented.Duties/Responsibilities:Organizes, schedules and dispatches appointments for service requestsInteracts with customers (contractors, builders and home owners) via telephone, email, or in person to communicate and coordinate service schedules and ensure appropriate actions are taken to resolve customer concernsSets up new customer accounts and maintains accurate account records, including details of inquiries, complaints, or commentsEnsures work orders are posted and accounts are billed correctly and in a timely mannerAssists with collections by following up on past due accounts and working with customers toward payment resolutionCoordinates permitting for new installations, maintenance, and other projects requiring permits, including preparing applications and tracking approvalsSupports new construction installs and projects by scheduling site surveys, keeping each project file up to date, and maintaining Cargas accountsManages the work with subcontractors and ensures correct and timely billingPerforms general administrative duties such as data entry, filing, answering phones, and preparing reportsMonitors inventory levels, including tank monitors, and submits requests for additional supplies to Plant ManagerPerforms other related duties as assignedThe absence of specific statements of duties does not exclude those tasks from the position if the work is similar, related, or a logical assignment of the position.Skills/Abilities:Excellent interpersonal, customer service, and problem-solving skillsService-oriented and able to resolve customer concernsProficient computer skills with the ability to learn new softwareAttentiveness and patienceAbility to multi task and be flexible with strong organizational skillsProficient in Microsoft Office suite to include Excel and WordExperience with Cargas or similar billing/dispatch software preferredEducation and Experience:High school diploma or equivalentMinimum two (2) years of customer service experienceExperience in the oil and propane industry and/or HVAC/Construction type industry (preferred but not required)Notary Public commission (preferred)Physical, Mental, and Behavioral Requirements:The physical requirements described here are representative of those that must be met by the incumbent to successfully perform the essential functions of this job.Prolonged periods sitting at a desk, using a phone, and working on a computerMust be able to lift up to 20 pounds as neededMust pass pre-employment screening and background checkThe above statements are intended to describe the general nature and level of work that is expected to be performed.
