Job summary

The CAR Group (Norm Reeves Dealerships) is seeking a detail-oriented Billing Clerk for our Service Department. This full-time, hourly non-exempt role reviews, books, and closes customer-pay, warranty, and internal repair orders using CDK Drive.

Ideal candidates have hands-on CDK Drive experience, solid knowledge of automotive repair orders, and OEM warranty claims processing. You will support service advisors, technicians, parts, and accounting to ensure accurate, timely processing.

Qualifications

• Hands-on CDK Drive in a Service Department (required).
• Knowledge of automotive repair order processes including customer-pay and warranty.
• Experience processing OEM warranty claims (Honda experience preferred).
• Strong attention to detail with good organizational and problem-solving skills.
• Ability to audit information and communicate corrections professionally.

Responsibilities

• Book and close customer-pay, warranty, and internal repair orders in CDK Drive for accuracy.
• Audit repair orders for correct operation codes, hours, and documentation.
• Identify and correct booking errors and guide advisors for updates.
• Apply coupons and discounts per promotions and documentation.
• Reconcile parts and labor entries and close orders daily.
• Monitor open/closed repair orders to aid month-end closing.
• Collaborate with Service Advisors, Lane Managers, Technicians, Parts, and Accounting.
• Ensure accurate booking to support advisor commissions and technician pay.
• Close repair orders after cashiering is complete.
• Assist with warranty claim accuracy and submission.

Full-Time | Hourly (Non-Exempt) | Pay Range: $16.00 - $20.00 DOE

We are looking for a detail-oriented Billing Clerk to join our Service Department! This role is responsible for reviewing, processing, and closing customer-pay, warranty, and internal repair orders to ensure accuracy and timely completion. The ideal candidate has hands‑on CDK Drive experience, strong knowledge of automotive repair orders, and experience with OEM warranty claims (Honda experience preferred).

This position plays a key role in supporting our Service Advisors, Technicians, Parts Department, and Accounting Office by ensuring repair orders are accurately booked, submitted, and closed.

What You'll Do

• Review and book customer-pay, warranty, and internal repair orders in CDK Drive for accuracy prior to close, including labor operations, parts, sublet, taxes, and pay-type coding.
• Audit repair orders for correct operation codes, technician flag hours, storylines, and required documentation.
• Identify and correct booking errors or return incomplete repair orders to advisors for updates.
• Apply coupons and discounts according to approved promotions and documentation.
• Reconcile parts and labor entries, resolve discrepancies, and clear open repair orders daily.
• Monitor open and closed repair orders to help reduce aging ROs and support accurate month-end closing.
• Partner with Service Advisors, Lane Managers, Technicians, Parts, and Accounting to maintain accurate and timely repair order processing.
• Ensure accurate booking practices to support advisor commissions and technician flag pay.
• Close repair orders after advisor cashiering is complete.
• Assist with warranty claim accuracy and submission processes.

What You'll Need

• Previous hands‑on experience with CDK Drive in a Service Department (required; comparable DMS experience may be considered).
• Knowledge of automotive repair order processes, including customer-pay, warranty, and internal repair orders.
• Understanding of operation codes, flag hours, sublet charges, parts/labor reconciliation, and pay types.
• Experience processing OEM warranty claims; American Honda warranty experience preferred.
• Strong attention to detail with excellent organizational and problem‑solving skills.
• Ability to audit information, identify discrepancies, and communicate corrections professionally.
• Comfortable working with confidential customer and payroll‑related information.
• Ability to manage deadlines and support daily/month-end accounting timelines.
