Job summary

Outten Chevrolet of Hamburg is seeking an experienced Service Appointment Coordinator to join our growing store. The role focuses on scheduling, customer communication, and coordination between customers, service advisors, and technicians to ensure smooth service operations.

You will manage follow-ups, maintain accurate CRM records, and assist customers with loaner vehicles as needed. We offer a supportive leadership team, ongoing training, and long-term growth opportunities within the Outten

Responsibilities

• Scheduling: Promptly answer incoming calls and online inquiries to schedule service appointments.
• Customer Communication: Educate customers on service options, address concerns, and explain wait times or costs prior to their visit.
• Coordination: Liaise between the customer, service advisors, and technicians to ensure an efficient workflow in the service department.
• Follow-up: Confirm upcoming appointments and contact clients post-service to ensure complete satisfaction.
• Record Keeping: Log customer details accurately in the Dealership Management System and maintain an organized schedule.
• Assist service customers with obtaining vehicles loaned by the dealership.

Key Responsibilities

• Scheduling: Promptly answer incoming calls and online inquiries to schedule service appointments.

Requirements

• Strong understanding of retail automotive sales operations and customer relationship management (CRM) systems.
• Basic understanding of automotive terminology, warranties, and vehicle maintenance.
• Excellent communication, interpersonal, and organizational skills.
• Proficiency in Microsoft Office and CRM systems.
• Strong computer and phone skills (Internet, MS Outlook, CRM tools).
• Ability to build and maintain long-term customer relationships.
• Valid driver's license with a clean driving record.
