We’re looking for an experienced, detail-oriented Senior Bookkeeper / Accounting Manager with a strong background in e-commerce accounting to oversee full-cycle financial operations across three legal entities. You’ll be responsible for everything from invoicing and payroll to monthly reporting and system optimization — with a key focus on integrating tools like Shopify, Xero, ADP, and Expensify for scalability and efficiency.

This is a hands-on role ideal for someone who thrives in a high-growth startup environment, understands e-commerce workflows, and enjoys building streamlined financial systems from the ground up.

Responsibilities:

● Full-Cycle Bookkeeping: Maintain accurate and complete financial records for three entities using Xero accounting software.

● Accounts Receivable (AR) and Invoice Generation: Generate and send customer invoices accurately and on time. Track and manage accounts receivable, follow up on outstanding balances, and ensure timely collections. Integrate AR workflows with Shopify to ensure clean revenue tracking and e-commerce alignment.

● Payroll Management: Oversee and process payroll for all employees using ADP, ensuring compliance with applicable payroll tax regulations.

● Expense Reimbursement Management: Manage employee expense reports through Expensify, ensuring policy compliance and accurate recordkeeping.

● Accounts Payable (AP): Process and manage all vendor invoices, ensuring timely and accurate payments. Reconcile vendor statements and resolve discrepancies efficiently.

● Monthly Financial Statements: Prepare accurate and timely monthly financial statements. Analyze financial performance, identify trends, and flag any anomalies.

● System Implementation and Optimization: Leverage and optimize the use of Xero, Shopify, Expensify, and ADP to streamline financial processes, minimize manual entry, and improve operational efficiency.

● Intercompany Transactions: Manage and reconcile intercompany transactions and balances across three related entities.

● Tax Compliance: Support the preparation and filing of tax-related documents. Liaise with external tax advisors and ensure compliance with GAAP and regulatory requirements.

● Process Improvement: Identify and implement improvements to accounting processes, internal controls, and financial reporting workflows.

● Ad Hoc Reporting and Analysis: Prepare ad hoc financial reports and performance analyses for the President and other stakeholders as needed.

● Support Growth Initiatives: Help build scalable financial infrastructure to support the company’s anticipated growth and venture funding efforts.

Qualifications:

● Bachelor’s degree in Accounting, Finance, or a related field

● Minimum of 5+ years of progressive accounting experience, preferably in a startup or high-growth environment

● Strong understanding of GAAP (Generally Accepted Accounting Principles)

● Direct experience with Xero, Shopify, Expensify, and ADP is highly preferred

● Proficiency in Microsoft Excel, including formulas, pivot tables, and lookups

● Strong analytical, problem-solving, and organizational skills

● Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment

● Excellent communication and interpersonal skills

● High level of accuracy and attention to detail

● Experience managing bookkeeping and financial reporting for multiple entities is a plus

● Experience supporting venture capital due diligence is a plus
