Job summary

MKS Instruments, Inc. in Irvine, CA, seeks a Senior Sales Contract Administrator to support key customer accounts within the Photonics Solutions Division.

You will partner with Sales, Operations and Manufacturing to ensure accurate contract execution and timely order processing. The role offers visibility across the business and potential for leadership growth, reporting to the Senior Manager, Sales Administration.

Qualifications

• 3+ years of experience in contract administration and/or customer service within a manufacturing environment.
• Proven ability to work effectively in a fast-paced environment where attention to detail and timely follow-up are critical.
• Strong interpersonal and communication skills, with the ability to interact with customers and internal stakeholders at all levels.
• Strong proficiency in Microsoft Office applications.
• Experience with SAP is highly preferred.
• Experience with Salesforce and Ariba is a plus.

Responsibilities

• Maintaining new and existing customer orders, including expediting orders, preparing quotes, proactively contacting customers, setting up new customer accounts, and supporting Key Account Managers.
• Communicating weekly order changes, including pull-ins and pushouts, to operations and manufacturing teams.
• Partnering with assigned Account Managers to ensure purchase orders align with approved quotes and contractual terms.
• Maintaining and coordinating bookings while consistently keeping the planning team informed and up to date.
• Ensuring accuracy and compliance throughout the order-to-cash process.
• Supporting cross-functional collaboration to meet customer commitments and business objectives.
