Job summary

Kapsch TrafficCom, a global technology leader, seeks a Proposal Manager to oversee the full lifecycle of proposal development from initial RFP release through final submission. The role coordinates cross-functional teams and ensures high-quality, compliant responses aligned with customer requirements.

Qualifications

• Bachelor’s degree in Business, Communications, Marketing, or related field.
• 5+ years of experience in proposal management or bid management.
• Experience managing multiple proposals in fast-paced environments.
• Experience supporting State and Local Government tenders, RFPs, and procurement processes.
• Knowledge of structured proposal development methodologies.
• Excellent written, verbal, editing, and presentation skills.
• Ability to translate complex technical information into customer-focused content.
• Experience leading large, strategic or highly technical proposals.
• Proficiency with MS Office and SharePoint.

Responsibilities

• Analyze RFP requirements and recommend proposal processes and content.
• Guide writers, organizational leads, and proposal team members.
• Define proposal style conventions to approve templates, covers, spines, tabs, labels, and graphics.
• Develop and maintain proposal schedules and compliant outlines.
• Consolidate RFP questions and coordinate internal reviews.
• Lead proposal kickoff meetings, status meetings, and color reviews.
• Ensure full compliance with RFP requirements throughout the lifecycle.
• Coordinate reviews with Legal, Contracts, Insurance, and other stakeholders.
• Ensure all required forms and documentation are completed by the appropriate personnel.
• Prepare review packages and provide guidance to contributors and reviewers.
• Maintain and manage the proposal collaboration workspace.
• Coordinate and support graphics development and production activities.
• Review proposal content for quality, consistency, and compliance.
• Ensure timely production and coordinate final delivery and submission plans.
• Lead final book check reviews.
• Communicate proposal status clearly and elevate risks or concerns to senior leadership when necessary.
• Track and confirm successful proposal delivery and submission.
• Support the preparation and coordination of oral presentations.
