Job summary

Kapsch is seeking a Proposal Manager in the United States who will oversee the full lifecycle of proposal development, from initial RFP to final submission. You will coordinate cross-functional teams, manage schedules, and ensure high-quality, compliant responses that align with customer requirements.

You will lead proposal kick-offs, reviews, and content guidance while interfacing with sales, pricing, legal, and leadership to produce winning responses that support growth.

Qualifications

• Bachelor's degree or equivalent professional experience.
• 5+ years of experience in proposal management, bid management, or proposal coordination.
• Experience supporting State and Local Government tenders, RFPs, and procurement processes.
• Knowledge of structured proposal development methodologies and strong PM skills.
• Excellent written, verbal, editing, and presentation skills.
• Ability to translate complex technical content into clear customer-focused content.

Responsibilities

• Analyze RFP requirements and make proposal process and content recommendations.
• Provide guidance to writers, organizational leads, and proposal team members.
• Define proposal style conventions and approve templates, covers, and tabs.
• Develop and maintain proposal schedules and compliant outlines.
• Coordinate and consolidate RFP questions for internal reviews.
• Lead proposal kick-off, status, and color review meetings.
• Ensure compliance with RFP requirements throughout the lifecycle.
• Coordinate reviews with Legal, Contracts, Insurance, and stakeholders.
• Ensure forms and documentation are completed by responsible personnel.
• Prepare review packages and guide contributors and reviewers.
• Maintain proposal collaboration workspace and graphics support.
• Review content for quality, consistency, and compliance.
• Ensure timely production and final submission plans.
• Lead final book check reviews.
• Escalate risks to senior leadership when necessary.
• Track successful proposal delivery and submission.
