Poulos- is seeking a Proposal Coordinator II to support the development of complex, multi-disciplinary proposals and SOQs. You will collaborate with technical staff, marketing, and subconsultants to manage content, schedules, and deliverables for high-quality submissions.

Qualifications

• Bachelor’s degree in English, Communications, Marketing, or related field preferred.
• 4+ years of experience in a proposal coordination role, preferably in the AEC industry.
• Proficiency in Adobe InDesign, Microsoft Word, PowerPoint, and Acrobat.
• Strong writing, editing, and proofreading skills.
• Excellent organizational skills and the ability to manage multiple concurrent deadlines.
• Effective communicator with the ability to collaborate with technical and non-technical staff.

Responsibilities

• Coordinate the proposal process from kickoff through final delivery, ensuring compliance with submission requirements.
• Coordinate the preparation, development, and layout of SOQs and proposal documents.
• Format documents and ensure brand compliance and proposal consistency.
• Manage content development with input from marketing, technical staff, and leadership.
• Manage proposal schedules, checklists, and timely submission of all components.
• Facilitate kickoff and milestone meetings to maintain progress and accountability.
• Support QA/QC processes to ensure high-quality, error-free deliverables.
• Maintain and update proposal databases, libraries, boilerplate material, and templates.
• Conduct research and gather information from internal teams to support proposal content.
• Track and manage multiple deadlines, prioritizing tasks by project needs.
• Identify process improvements and content updates.
