Job description

Position Overview: The Senior Payroll Specialist is responsible for ensuring the timely and accurate bi-weekly processing of payroll, in accordance with company policy and applicable regulations. This role, reporting to the AVP, People Operations and Compliance is responsible for full life cycle payroll activities, maintaining accurate recordkeeping, ensuring a positive employee experience and collaborating across the human resources, finance and business operations to continually improve systems and processes.

Duties and Responsibilities:

  • Processing nationwide bi-weekly payroll
  • Responsible for daily review and resolution of items submitted to payroll (new hires, terminations, LOA, pay changes, status changes, title changes, etc.)
  • Maintain ongoing effective communication and collaborative relationship across Human Resources to ensure accuracy of employee data and the efficient processing of employee changes.
  • Handle assigned workflow to ensure all payroll transactions entered are processed accurately and timely.
  • Understand and perform all phases of the payroll process, associated processes, and audits.
  • Resolves daily inbox and escalated payroll process and policy inquiries requiring higher level knowledge
  • Process all aspects of assigned payrolls, including off cycle payrolls, manual checks, verification of time, new hires, rehires, terminations, tax information, benefit deductions, awards, leave of absence, relocation reimbursements, bonuses, other benefits, garnishments, child supports withholding, other changes, etc. and ensure posting accuracy, handle corrections appropriately.
  • Participate and assist in projects that expand the scope and/or scale of Payroll, while ensuring compliance with the department and company procedures, policies, and state and federal regulations and statutes; receives general guidance may receive more detailed instruction on new projects.
  • Generate various reports on taxes paid, employee withholdings and deductions taken, etc. to properly record and verify payroll-related balances.
  • Understand multistate taxation in the payroll system to ensure accuracy and compliance with federal, state, and local jurisdictions.
  • Assist in the completion of distribution of annual W-2 statements and request for duplicate copies (as applicable).
  • Communicate with leaders on any payroll discrepancies such as timesheet errors, or requested sick and other paid time off (PTO) benefit reports (e.g., “Hours” report), etc.
  • Keep up to date on new payroll-related tax law changes, retain appropriate record and maintenance of all electronic and paper payroll records in an orderly manner.
  • Recognize and follow the proper separation of duties, maintain confidential records in accordance with internal company procedures and work with Payroll Manager to prepare for annual audit.
  • Responsible for maintaining SOX controls on a per pay period basis.
  • Preparing reports for Accounting, Benefits and FP&A on a per-period basis.
  • Assists Accounting and Security Department with any fraudulent payroll checks and resolution of related items.
  • Uphold responsibilities relative to the separation of duties for applicable processes and procedures within your job function.

Job Requirements:

  • Minimum of 5 years of multi-state payroll processing experience with payroll systems (UKG desired).
  • Ability to recommend solutions using independent judgement on moderately complex issues, work independently or in a team environment.
  • Possess strong customer service orientation and high level of accuracy.
  • Demonstrated working knowledge of payroll practices.
  • Knowledge of federal, state, and local wage and hour and payroll tax laws and regulations.
  • Knowledge of Microsoft Outlook, PowerPoint, Word, and solid Excel spreadsheet skills.
  • Demonstrated written and verbal communication skills.
  • Strong interpersonal skills including cooperativeness, professionalism, and customer service.
  • Effective communicator internally and externally with various levels of management.
  • Demonstrated adaptability and commitment to teamwork in a rapid work environment.
  • Ability to meet deadlines, prioritize multiple tasks, and attention to detail.
  • Ability to maintain and process confidential information.
  • Fundamental Payroll Certification (FPC) preferred.

Education:

  • Associate degree or equivalent work experience required.

Physical Demands and Work Environment:

  • Sedentary work (i.e., sitting for long periods of time) Exerting up to 10 pounds of force occasionally and/or negligible amount of force.
  • Frequently or constantly to lift, carry push, pull, or otherwise move objects and repetitive motions.
  • Subject to inside environmental conditions

In addition to the base compensation, this position may be eligible for performance-based incentives.

The actual base pay offered may vary depending on multiple factors including, but not limited to, job-related knowledge/skills, experience, business needs, geographical location, and internal equity. At ComplexCare Solutions, it is not typical for an individual to be hired at or near the top end of the range for their role, and compensation decisions are dependent upon the facts and circumstances of each position and candidate.

Base Compensation Range

$27.50 - $41.25 USD
