Job summary

Jobot is seeking a Senior Payroll Specialist in Irvine, CA for a hybrid, permanent role. You will own multi-state payroll processing, ensure accuracy, and collaborate with HR and payroll providers. Expect involvement in audits, year-end tasks, and process improvements as the company scales.

Qualifications

• 5+ years of experience in finance or accounting.
• Experience processing and auditing multi-state payroll.
• Knowledge of multi-state payroll tax, wage and hour compliance, and payroll accounting.

Responsibilities

• Own bi-weekly payroll processing across multiple states.
• Review payroll accuracy: earnings, deductions, taxes, bonuses, and garnishments.
• Partner with HR and payroll provider to manage cycles and resolve issues.
• Process off-cycle payments, retroactive adjustments, and corrections.
• Monitor multi-state payroll tax requirements and registrations.
• Serve as Finance administrator for the payroll system.
• Maintain payroll records and documentation for audits.
• Manage year-end activities: W-2s, bonuses, tax reconciliations.
• Reconcile payroll to GL and resolve variances.
• Prepare payroll journal entries and account reconciliations.
• Record monthly/quarterly bonus and sales commission accruals.
• Assist with month-end and year-end close tasks.
• Support audits with reconciliations and documentation.
• Identify opportunities to improve payroll/processes.
• Assist with ad hoc financial analyses and initiatives.
• Help build scalable payroll processes as US organization grows.

Job Details

Note: This is a hybrid role, with an expectation of working in the Irvine office 3–4 days per week.

What You’ll Do

• Own bi-weekly, multi-state payroll processing.
• Review payroll for accuracy, including earnings, deductions, taxes, commissions, bonuses, and garnishments.
• Partner with HR and the payroll provider to manage payroll cycles and resolve issues.
• Process off-cycle payments, manual checks, retroactive adjustments, and corrections.

What We’re Looking For

• 1. Bachelor’s degree or an Associate’s degree in Accounting or Finance
• 2. Has 5+ years of experience in finance and/or accounting.
• 3. Experience processing and auditing multi-state payroll
• 4. Working knowledge of multi-state payroll tax, wage and hour compliance, and payroll accounting principles.
