Job summary

Jobtailor is seeking a senior payroll professional to manage full-cycle, multi-state payroll for a 600–700 employee workforce. The role emphasizes certified payroll compliance, accurate timecard auditing, and precise fringe calculations across CA, NV, and AZ.

The ideal candidate has extensive union wage experience, CPP certification preferred, and strong Excel skills for large-scale payroll data processing and reporting.

Qualifications

  • Bachelor’s degree in business or accounting preferred.
  • Minimum 2+ years in a senior-level payroll role.
  • 7+ years payroll experience required.
  • 5+ years Union/Prevailing Wage experience required.
  • Experience with multi-state payroll, especially CA/NV/AZ.
  • CPP Certification preferred.
  • Proficient in Excel including PivotTables and VLOOKUP.

Responsibilities

  • Responsible for full cycle multi-state payroll for 600–700 employees.
  • Audits automated and manual timecards for payroll processing.
  • Calculate hours, tax withholdings, deductions, bonuses, and union fringes.
  • Process certified payroll to ensure compliance with federal, state, and local laws.
  • Ensure submission of certified payroll reports and obligations.
  • Coordinate with internal and external customers for job compliance.
  • Review initial job packets for certified payroll needs.
  • Process subcontractor certified payroll documentation timely.
  • Export/import timecard data between timecard and payroll systems.
  • Review labor allocations reported on timecards and handle year-end processes.

Job description

Responsibilities
  • Responsible for full cycle multi‑state payroll for 600–700 employees
  • Audits automated and manual timecards for payroll processing
  • Calculate hours, tax withholdings, deductions, bonuses, and union fringes
  • Process and complete all requirements in relation to certified payroll to ensure compliance with Federal, State, and local prevailing wage laws
  • Ensures contractual obligations and submission of certified payroll reports
  • Submit and upload compliance documentation into project‑specified payroll tracking systems
  • Coordinates with both internal and external customers to ensure compliance with jobs including but not limited to customers, general contractors, subcontractors, government agencies and labor unions
  • Review initial job packets for certified payroll or prevailing wage requirements
  • Reviews and processes tiered subcontractor certified payroll documentation in a timely manner
  • Exports and imports timecard information from timecard software into payroll software
  • Reviews and enters labor allocations reported on timecards
  • Prepares termination and check adjustments
  • Handles employee inquiries regarding payroll checks or deductions on their paychecks
  • Coordinates with the HR department to ensure the correct employee data is on file
  • Process monthly union fringe reports for payment
  • Supports the department with developing, receiving, reviewing, and processing information for a variety of departmental, State, and Federal mandates, and statistical reports and records; verifies accuracy and completion of reports and records; maintains accurate records
  • Coordinates year‑end processes
  • Maintains employee confidence and protects payroll operations by keeping confidential information
  • Other duties as assigned
Requirements
  • Bachelor’s degree in business or accounting preferred
  • Minimum of 2+ years of experience in a senior‑level payroll role required
  • A minimum of 7 years of payroll experience required
  • A minimum of 5 years of Union/Prevailing Wage experience required
  • Previous high‑volume payroll experience with multi‑states particularly in CA, NV, AZ, with a medium to large size company is required
  • CPP Certification preferred
  • Proficiency in Microsoft Excel, including PivotTables and VLOOKUP required
