Job summary

Jobtailor seeks a Customer Order & Contracts Specialist to manage orders from booking to shipment and closeout. You will respond to inquiries, update customers, and resolve issues while coordinating with Sales, Manufacturing, and Finance.

Responsibilities include booking contracts, handling revisions, and ensuring compliance with shipping and regulatory requirements. You will support forecasting, billing, revenue recognition, and account reconciliations in a cross-functional environment.

Qualifications

  • 0-3 years of experience in customer service, operations, contract administration, manufacturing support, sales support, order management, scheduling, or related business functions
  • Associates degree, Bachelor's degree and/or equivalent experience
  • U.S. Citizen and/or Permanent Resident
  • Experience supporting manufacturing operations, applied equipment, HVAC equipment, industrial products, or complex customer orders preferred
  • Experience with forecasting, billing, contract administration, and customer account management preferred
  • Bachelor's degree preferred

Responsibilities

  • Serve as the primary point of contact for customer orders from contract booking through shipment and closeout
  • Respond to customer inquiries and communicate order acknowledgements, schedule updates, shipment information, and issue resolution
  • Manage customer expectations and proactively identify risks affecting customer commitments
  • Book, release, and manage customer contracts and orders, including pricing, terms, addresses, taxes, and contractual requirements
  • Process order revisions, change orders, and contract modifications
  • Monitor and resolve order approvals, accounting holds, manufacturing holds, shipping holds, and other exceptions
  • Coordinate with Sales, Manufacturing, Engineering, Product Management, Supply Chain, Logistics, Finance, customers, and international or intercompany partners
  • Support demand planning, production scheduling, shipment tracking, delivery appointments, transportation, and customer-specific shipping requirements
  • Support forecasting, backlog management, billing, contract administration, invoicing, revenue recognition, credit memos, billing adjustments, and account reconciliations
  • Ensure compliance with international shipping requirements, export regulations, company policies, and legal requirements
  • Coordinate contract milestones, closeout, warranty administration, documentation, and financial records
  • Participate in business reviews, resolve operational issues, identify process improvements, and support special projects
