Job summary

On Location is seeking an Accommodation Coordinator for the Los Angeles 2028 Olympic/Paralympic Games. You will coordinate hotel contracts, inventory and be the primary contact for the Games' Accommodation team, liaising with sales and other offices to meet client needs.

Requirements include a Bachelor's in Hospitality or related field and 2+ years in events/travel/hospitality; fluency in English. Travel may be required; strong organizational and communication skills are essential.

Qualifications

• Bachelor's Degree in Hospitality or a related field, or equivalent experience required.
• Minimum of 2+ years in the events, travel, and/or hospitality industry.
• Experience in handling groups allotments, rooming lists and group billing.

Responsibilities

• Daily auditing of systems.
• Daily review of sales proposal status.
• Input of bookings in ACM system.
• Weekly rate checks on competitors and OTA websites.
• Contract management—organization and calendar management of payments, attrition, cancellation, cutoff dates.
• Take meeting notes and share tasks from meetings.
• Site visit requests coordination.
• Collect and submit invoices.
• Payment tracking to ensure hotels are paid on time.
• Coordinate with WFO on ad hoc groups rooming lists, payments, etc.
• Stand up and maintain hotel materials/spreadsheets (amenities, meeting space, menus, pictures, etc.).
• Work in various systems to record, process, and manage hotel inventories and reservations.
