Job description

Secure Money Advisors is seeking a highly organized, hands-on Senior Marketing & Events Coordinator to oversee the detailed coordination and execution of our seminars and events while supporting broader marketing initiatives.

Reporting to the Director of Marketing, this person will serve as the primary coordinator for approximately 140+ events annually, along with client events, webinars, media projects, and marketing campaigns. This includes coordinating the additional employees who staff evening events and ensuring everyone has the schedules, information, materials, and direction needed to execute each event successfully.

Although we have additional team members who work evening events, this is not an office-only coordination position. This person must personally visit venues, attend and support at least one evening event every week.

Exceptional attention to detail is essential. This role manages numerous schedules, venues, vendors, attendees, materials, deadlines, and follow-up items. The successful candidate must consistently review their work, identify potential issues, and follow through without repeated reminders.

We are looking for a self-starter with a strong work ethic, positive energy, sound judgment, and the willingness to do the hands-on work required to produce strong results.

Key Responsibilities
Seminar and Event Coordination
  • Serve as the primary point person for the planning, coordination, execution, and follow-up of seminars, webinars, workshops, client events, and internal events.
  • Coordinate approximately 90+ seminars annually across multiple locations.
  • Maintain the master event calendar and coordinate venues, vendors, mailhouses, advisor assignments, staffing, attendee lists, presentations, supplies, and event materials.
  • Schedule, communicate with, train, and coordinate the employees who provide evening seminar support.
  • Provide event staff with clear schedules, assignments, expectations, attendee information, and materials before each event.
  • Maintain detailed event timelines, checklists, trackers, and supporting documentation.
  • Monitor registrations, attendance, appointment requests, follow-up activity, and event results.
  • Confirm that every event detail is complete and accurate before established deadlines.
  • Anticipate and resolve issues before they affect an event or the attendee experience.
  • Personally attend and support at least one evening event each week.
  • Help maintain consistent service and presentation standards across all events.
  • Review results and recommend improvements to event quality, attendance, efficiency, and conversion.
Marketing, Media, and Project Support
  • Support the Director of Marketing with the execution of department priorities, campaigns, and special projects.
  • Help turn marketing strategies and ideas into organized plans, assigned action items, and completed deliverables.
  • Coordinate marketing materials, presentations, mailings, promotional items, client communications, and other campaign components.
  • Assist with radio, television, digital, webinar, referral, seminar, and client appreciation initiatives.
  • Coordinate recording schedules, studio time, participants, materials, and follow-up for radio, television, and content projects.
  • Communicate with marketing vendors and internal team members regarding expectations, deadlines, approvals, and deliverables.
  • Assist with compliance submissions and marketing-related administrative requirements.
  • Keep projects moving forward through consistent communication, follow-up, organization, and accountability.
  • Assist with other marketing and company initiatives as priorities evolve.
Technology, Automation, CRM, and Reporting
  • Maintain accurate seminar, lead, contact, appointment, and campaign information within company systems.
  • Complete event trackers, reports, and performance updates accurately and on time.
  • Use CRM systems, project-management tools, AI, automation, and other technology to improve organization and efficiency.
  • Review all AI- and technology-assisted work carefully to ensure accuracy, quality, and professionalism.
  • Identify opportunities to automate repetitive tasks, improve workflows, and reduce the potential for errors.
  • Investigate missing or inconsistent information and help resolve the underlying issue.
  • Learn and adapt to new systems as the company’s technology and processes continue to evolve.
  • Provide reliable information to help leadership evaluate marketing performance and return on investment.

Qualifications
  • Three to five or more years of experience in event coordination, marketing coordination, marketing operations, project coordination, hospitality, or a related field.
  • Prior experience coordinating a high volume of events, multiple locations, vendors, or event-support employees is strongly preferred.
  • Strong written and verbal communication skills.
  • Excellent planning, prioritization, problem-solving, and follow-through.
  • Experience using CRM systems, spreadsheets, project-management platforms, AI tools, or other business technology.
  • Ability to learn new systems and processes quickly.
  • Prior experience in financial services, professional services, radio, television, or seminar marketing is helpful but not required.
Evening Schedule Requirement

This person must be willing and able to personally work at least one evening every week to attend and support seminars or events. Occasional additional evenings may be required based on the event and team needs.

While other employees provide additional evening-event coverage, this position is responsible for leading by example, understanding the event experience firsthand, and stepping in when necessary.
