Job description

Job Title: Senior HR Manager, US Operations

Location: East Windsor, New Jersey (Onsite)

Experience: 8–12 Years

Reporting To: CEO - Advagen Pharma Limited and CHRO – Rubicon Research Limited

About the Role

AdvaGen is a fast-paced, performance-driven organization where speed, ownership, and results matter. We are seeking a strategic and hands-on Senior HR Manager to lead Talent Strategy/Acquisition and HR Operations who serves as a key partner to leaders across SG&A functions and distribution, manufacturing operations, driving people strategies that support growth and operational excellence. This position combines leadership in full-cycle talent acquisition with ownership of HR operations, compliance, employee experience, and workforce planning.

Key Responsibilities
  • Own full-cycle recruiting for assigned roles — sourcing, screening, interview coordination, offer negotiation, and closing
  • Build and manage a proactive sourcing pipeline (LinkedIn Recruiter, job boards, referrals, outbound outreach) — not just reactive applicant screening
  • Drive a fast, structured interview process; reduce time-to-fill without compromising candidate quality
  • Track and report on key TA metrics: time-to-fill, offer-acceptance rate, source-of-hire, pipeline conversion
  • Deliver a strong candidate experience at every touchpoint
  • Support pre-employment processes including background checks and reference checks
  • Manage external recruiting agencies and sourcing partnerships as needed
  • Champion employer branding initiatives to enhance talent attraction
HR Operations & Compliance
  • Own the employee lifecycle end-to-end: onboarding, data management, status changes, offboarding and offboarding processes
  • Maintain HRIS data integrity and reporting accuracy
  • Support audits, documentation standards, and regulatory readiness
  • Partner with leadership on development, implementation of HR policies and HR communications
  • Administer benefits enrollment, leave management, and respond to day-to-day employee queries with speed and accuracy
  • Ensure compliance with federal, state, and local employment laws (FLSA, FMLA, ADA, EEO, I-9, state-specific leave laws)
  • Documentation: offer letters, employment verification, policy acknowledgments, personnel files
  • Identify and fix process inefficiencies; build/automate workflows rather than relying on manual tracking
  • Drive end-to-end payroll processing — inputs, validation, and resolving discrepancies in coordination with Finance
  • Liaise with outside employment counsel on complex or high-risk employee relations cases, ensuring proper documentation and risk mitigation
Business Partnership & Employee Experience
  • Serve as a trusted HR advisor to functional leaders across operations and business units
  • Lead employee engagement initiatives (pulse surveys, recognition programs, culture events)
  • Support organizational design, role clarity, and workforce optimization
  • Manage employee relations matters with sound judgment and discretion
  • Provide coaching to managers on people-related matters, performance, and team dynamics
  • Mentor and provide day-to-day guidance to team members/coordinators
  • Coordinate employee training and development activities, including onboarding curricula and skill-building sessions
Process Improvement & Analytics
  • Identify opportunities to improve HR processes and drive operational efficiency
  • Develop and monitor HR KPIs, delivering actionable insights to leadership
  • Leverage data to support decision-making and workforce planning
Qualifications
  • Masters’s degree in Human Resources, Business Administration, or related field preferred
  • 7–10+ years of progressive HR experience in U.S., including both talent acquisition and HR operations
  • Demonstrated ability to partner with business leaders and influence decision-making
  • Strong knowledge of U.S. employment laws and multi-state compliance requirements
  • Experience managing HR processes in a growing or dynamic organization
  • Proven ability to work both strategically and hands-on
  • Strong analytical and problem-solving skills
  • Experience with HRIS and applicant tracking systems
  • Prior experience in pharmaceutical, life sciences, manufacturing, or regulated environments preferred
Preferred Skills
  • Experience supporting multi-state U.S. employees
  • Ability to operate independently while driving accountability across the organization
  • Balance of strategic thinking and hands-on execution
  • Strong business acumen and comfort working with financial and workforce data
  • High level of discretion and professionalism
