Job summary

Octagon is seeking a Senior Event Executive, Hospitality to lead planning and execution of high-end event and experiential marketing programs for a home improvement client. The role spans concept development, logistics, vendor management, and onsite delivery with a service-oriented Hospitality Team.

Qualifications

• 3+ years of experience in events field; past hospitality experience preferred.
• Excellent organization skills.
• Self-starter with ability to balance multiple projects on strict timelines.
• Ability to form effective links with clients; flexible with various personalities.
• Strong interpersonal, written and oral communication skills.
• Proactive with problem solving and creative solutions.
• Experience with budget management and vendor coordination.

Responsibilities

• Lead planning and execution of event logistics across multiple hospitality programs, ensuring details are planned and flawless.
• Develop creative hospitality experiences and premium touchpoints to elevate guest experiences.
• Manage third-party vendors as primary day-to-day contact, overseeing timelines, deliverables, budgets and execution.
• Support décor concepts, event layouts and floor plans while integrating client branding throughout the guest experience.
• Own gifting execution from concept through fulfilment, including quotes, ordering, inventory and onsite distribution.
• Develop and maintain asset management for signage, collateral, production elements and branded décor.
• Support budget creation, management, reconciliation and recap.
• Participate in weekly status calls with internal and external stakeholders.
• Lead planning and execution of food and beverage operations including menu recommendations and timing.
• Prepare status updates, execution guides and staff documents.
• Assist with event results reporting and wrap-up reports.
• Oversee contracts, certificates of insurance, POs and payments.
• General account management and client requests.
