Qualifications

• Bachelor’s degree or equivalent combination of education and experience in a related field.
• Minimum three (3) years in facilities administration or related operational support roles.
• Experience with budget administration, invoice processing, financial reporting, and vendor management.
• Strong organizational, analytical, and problem-solving skills.
• Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).
• Experience with reporting tools, databases, and work order systems.

Responsibilities

• Coordinate daily administrative operations of the Facilities Department and provide analytical support to the VP of Facilities.
• Review, code, verify, process, and track invoices; ensure alignment with contracts and budgets.
• Assist with operating and capital budget development, forecasting, and variance analysis.
• Develop executive dashboards, presentations, and reports communicating KPIs, financial results, and performance.
• Coordinate vendor administration, contracts, insurance, and procurement activities.
• Ensure permits, licenses, inspections, audits, and risk assessments are in place; track deficiencies to resolution.
• Maintain policies, procedures, databases, work orders, and contract records.
• Oversee project administration, including schedules, budgets, vendor performance, and deliverables.
