UDRI is seeking a qualified Senior Facilities Assistant at our Dayton locations to support facilities management, administrative and manufacturing activities. The successful candidate will be responsible for divisional courier service, package inspection, vendor pick-up/drop-off, international shipping, supporting front desk and visitor sign-in, warehouse inventory and facility/administrative duties as-needed. This position will assist with developing standard operating procedures (SOP’s) within the facilities management team, support and develop basic ISO standards, administer facility purchasing, process invoices, record and maintain preventative maintenance logs, perform visitor security screening procedures, and support customer meetings and functions. Tasks will include escorting visitors, maintaining breakroom vending, communicating facility functions, organizing job communication boards, identifying facility and security improvements, writing monthly status reports, tracking calendars and schedules, etc.
Minimum Qualifications:
AC3
• High school diploma or equivalent
• 4+ years min of experience in facilities, courier, shipping & receiving and/or administrative operations
• Ability to work under limited supervision and complete complex tasks
• Ability to provide advice and guidance to staff and team members
• Effective communication (verbal and written) and interpersonal skills;
• Customer service oriented
• Demonstrated organization skills and detail oriented
• Self-motivated, and able to multi-task
• Must be a team player and able to work with and through others at all levels of the organization
• Moderate understanding of Microsoft Office programs (Word, Excel, Outlook, etc.)
• Problem solving ability
• Excellent Time Management skills
• Ability to operate material handling equipment
• Valid drivers license with low risk driving record - must qualify for University of Dayton Drivers Certification
• Due to the requirements of our research contracts with the U.S. federal government, candidates for this position must be a U.S. citizen
An AC4 must meet all AC3 minimum qualifications in addition to the qualifications listed below:
• High school diploma and a minimum of 6+ years min of experience in facilities, courier, shipping & receiving and/or administrative operations
• Associates degree in applicable field and a minimum of 4+ years min of experience in facilities, courier, shipping & receiving and/or administrative operations
• Ability to complete work with limited supervision and complete complex tasks without procedures
• Ability to provide advice and guidance to staff and team members that are complex
Preferred Qualifications:
While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:
• Associates degree in applicable field
• 6+ years of directly related facilities, courier and/or shipping & receiving experience
• 4+ years administrative experience
