Department Summary

The University of North Texas (UNT) has a long history of nationally recognized excellence in the arts, education and humanities and has put more emphasis on fast growing, innovative programs in science, engineering and technology to further grow as a public research university. The Office of the Provost and Vice President for Academic Affairs is responsible for the main mission of the institution including teaching, research and service. The Provost's office provides leadership in the development and supervision of the university's academic programs in conjunction with the deans and representatives of the faculty in curriculum changes, degree programs, and organization.

Position Overview

The Senior Executive Assistant to the Provost and Vice President for Academic Affairs provides comprehensive administrative support to the Provost and Office of Academic Affairs at the University of North Texas. This critical role ensures the effective coordination of executive priorities, manages time-sensitive and confidential initiatives, and serves as a key liaison between the Office of the Provost and internal and external stakeholders. The ideal candidate is professional, highly organized, proactive, and skilled in managing complex schedules, communications, and sensitive information.

Minimum Qualifications

Bachelor's Degree and five years' of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.

  • Demonstrated expertise in office systems and a broad range of technologies, software, and platforms.
  • Exceptional oral and written communication skills.
  • Proven ability to work under pressure, adapt to shifting priorities, manage multiple tasks simultaneously, and develop thoughtful, effective solutions.
  • Skilled in maintaining records, organizing complex data, and preparing comprehensive reports.
  • Strong planning and organizational abilities, with a capacity to manage multiple programs and assignments efficiently.
  • Able to handle complex and confidential matters with sound judgment, discretion, and resourcefulness.
  • Excellent interpersonal skills and the ability to build and maintain collaborative, strategic relationships.
  • Proficient in managing and tracking financial transactions.
  • Knowledgeable of university policies and procedures, with a clear understanding of and commitment to supporting the university’s mission, vision, and goals with professionalism and autonomy.

Preferred Qualifications

Higher education experience, working in collaboration with senior leadership, highly preferred.

Job Duties:

  • Provides executive, administration, and analytical support to the Provost and Vice President for Academic Affairs.
  • Serves as the primary point of contact for the Office of the Provost and Vice President for Academic Affairs; manages internal and external communications with professionalism and discretion, and acts as a university-wide liaison.
  • Identifies issues or problems and researches solutions within specific management areas.
  • Manages and maintains strategic calendaring for the Provost, including prioritizing meetings, anticipating scheduling conflicts, and ensuring alignment with University goals.
  • Schedules and coordinates logistics for meetings and events led by the Provost, including Provost Council.
  • Prepares Board of Regents agenda items pertaining to Academic Affairs.
  • Maintains digital and physical filing systems in compliance with FERPA and institutional standards.
  • Manages procurement for the Office of the Provost; tracking and managing invoices and billing as necessary in the Academic Affairs budget.
  • Oversees tracking, processing, and recording of academic agreements, contracts, and memorandums.
  • Drafts, reviews, edits, and files correspondence, reports, and presentations for the Office of the Provost.
  • Works closely and collaborates with the administrative teams within the colleges of Academic Affairs.
  • Manages meeting schedules, agendas, and notes for the Provost Council meetings.
  • Undertakes responsibility for special assignments, projects, tasks, and reports, as assigned by the Provost.
