ATI is seeking a talented Senior Executive Assistant to support multiple C-Suite leaders, including the President and Chief Executive Officer, Chief of Staff, and Chief Financial Officer at our headquarters in Dallas, Texas. This role calls for someone who not only excels in organization and communication but can anticipate the needs of the executives before they arise. If you are a proactive, detail-oriented, and resourceful professional who thrives in fast-paced, high-pressure environments, we want to meet you!

Key Responsibilities:

Calendar Management & Scheduling:

  • Manage the complex and ever-changing calendars of multiple executives, ensuring that meetings, appointments, and travel are flawlessly coordinated.

  • Handle both domestic and international travel arrangements, including commercial flights and private jets (NetJets), preparing detailed itineraries, and managing logistics.

  • Be one step ahead: anticipate scheduling conflicts, adjust priorities, and ensure executives are always well-prepared for upcoming engagements.

  • Prepare agendas, presentations, and supporting communications for a variety of audiences, ensuring that every detail is covered.

Event & Meeting Coordination:

  • Organize and oversee high-level corporate meetings and conferences, whether in the Dallas office or at off-site locations, ensuring that every element runs smoothly-from the setup to the follow-up.

  • Coordinate logistics, catering, reservations, and conference room setup with precision and foresight.

  • Be a problem solver, tackling challenges before they become issues with a calm demeanor and quick thinking.

Proactive Problem Solving:

  • Support multiple executives with competing priorities, maintaining an exceptional level of responsiveness and ensuring that their needs are met with urgency.

  • Stay ahead of the curve by anticipating challenges and addressing them proactively to predict what will be needed before it's asked.

  • Resolve conflicts or challenges that may arise, using your resourcefulness and creativity to find effective solutions in real-time.

Confidentiality & Discretion:

  • Handle sensitive and confidential information with the utmost care and professionalism, embodying the trust that executives place in you.

  • Maintain a high level of confidentiality and adhere to company policies regarding private information.

Board of Director Coordination & Communication:

  • Serve as the primary liaison between the executive team and the Board of Directors, ensuring smooth coordination of logistics for Board meetings.

  • Support in the preparation and execution of Board meetings, managing all communications and scheduling requirements.

Key Requirements:

  • Executive Presence: Able to interact with top-level executives and clients with professionalism and poise.

  • Proactive Problem Solver: Anticipate needs and act before they arise.

  • Exceptional Communication Skills: You possess excellent verbal and written communication skills with a keen eye for detail.

  • Organizational Excellence: Strong organizational and time-management skills, able to juggle competing priorities without missing a beat.

  • Adaptability: Flexible and adaptable, able to shift priorities based on changing business needs.

  • Calm Under Pressure: Can remain composed in high-pressure situations, tackling multiple tasks simultaneously with ease.

  • Resourceful Team Player: You work well within a team and also excel independently, using your initiative to get the job done.

Basic Qualifications:

  • 10+ years of administrative support experience, with at least 5 years supporting C-Suite executives

  • Proficient in Windows 10/11, Office 365, and MS Teams

  • High School Diploma required

Preferred Qualifications:

  • Bachelor's Degree

  • Direct experience supporting CEOs and Boards of Directors

Working Style: This role requires someone who is highly flexible, resourceful, and able to handle the unexpected with a calm and steady hand. A sense of humor and a strong team orientation are key to thriving in this environment. The ability to seamlessly manage multiple priorities while remaining calm under pressure is essential.

Why Join Us? This is an exciting opportunity to work closely with the ATI's top executives and play a critical role in the success of the organization. If you have sharp instincts and the drive to keep everything running smoothly behind the scenes, we'd love to meet you!
