Job summary

Westfield Insurance in Ohio is seeking a Senior Event Planner to own end-to-end planning, strategy, and execution of high-impact events at headquarters and off-site venues. You will partner with senior leadership to shape event objectives, measure outcomes, and elevate engagement.

You will lead on-site operations, coordinate vendors, manage programs, and mentor junior planners, ensuring consistent, high-quality experiences across multi-day events.

Qualifications

  • 5 - 7 years of experience in Event Management, Hospitality Management or related field.
  • Bachelor’s degree in Hotel Management, Event Management or commensurate experience.

Responsibilities

  • Own end-to-end planning and execution of complex, high-profile, multi-day events.
  • Design event programs, speaker scheduling, entertainment, workshops, and other activities.
  • Lead on-site operations, coordinating staff and vendors to ensure seamless attendee experiences.
  • Develop event programs and schedules to engage participants and align with business goals.
  • Build and manage online registration websites and reporting dashboards for event performance.
  • Review survey results to identify trends and opportunities for improvement.

Job Summary

The Senior Event Planner, working under limited supervision, is responsible for owning end-to-end planning, strategic design, and execution of high-impact events delivering against business outcomes both at company headquarters and off-site venues. This role partners closely with business units and senior leadership to shape event strategy, elevate engagement, and ensure alignment with business goals. The Senior Event Planner manages complex, multi-day, high-visibility events and serves as a strategicadvisoroneventobjectives,audienceexperience,andmeasurement.Theyalsoprovidecoachingandguidance to other planners and cross-functional partners, ensuring the delivery of consistent, high-quality event experiences.

Job Responsibilities
StrategicPlanning&Alignment
  • Drives event plans with senior leaders and executives to defineeventstrategy,purpose,targetaudiences,anddesired outcomes for major events.
  • Designsframeworksforeventmeasurement,engagementscoring,andpost-eventinsights;synthesizes recommendations to inform event strategy.
  • Designs and deployseventstrategytostrengthenbrandpresence,reinforcebusinesspriorities,andenhance internal and external engagement.
EventExecution&Oversight
  • Owns end-to-endplanningandexecutionofcomplex,high-profile,ormulti-dayevents,ensuringseamless experiencesandalignmentwithstrategicobjectivesatbothat company headquartersandoff-sitevenues.
  • Developseventprograms,schedules,andcontentexperiencesthatengageparticipantsandsupportbusiness goals.
  • Servesastheprimaryon-sitelead,overseeingalloperations,staff,vendorpartners,andreal-timedecision-making at both headquarters and off-site venues.
  • Develops event programs,includingschedulingspeakers,entertainment, workshops, and other activities. Ensures the program aligns with the event's objectives and provides an engaging experience for attendees.
  • Oversees on-site event operations, including managing staff, coordinating with vendors, troubleshooting problems,andensuringaseamlessexperienceforattendees atbothheadquartersandoff-sitevenuesand locations
  • Buildsandmanagesonlineregistrationwebsitesandreportingdashboardsforeventperformance,attendee data, and post-event analytics.
  • Reviewsandinterpretssurveyresults,identifyingtrends,insights,andopportunitiesforcontinuous improvement.
Budget+VendorManagement
  • Ownslarge-scaleeventbudgets,includingscenarioplanning,costmodeling,andexecutivebudgetjustification.
  • Negotiatesvendorcontracts,managesrisk,andensuresservice-leveladherenceforenterprise-levelevents.
  • Providesprofessionalproposalsandcomprehensivebudgetreportingacrosstheentireeventlifecycle.
Communication+StakeholderLeadership
  • Owns and managesallcommunicationrelatedtoeventstrategy,planning,production,participantupdates,and executive-level reporting.
  • Buildsandmaintainstrustedbusinessrelationshipswitheventsponsorsandhosts,providingstrategiccounsel and consistent hospitality standards.
  • Facilitatescross-functionalplanningteams,ensuringalignmentwithCommunications,Marketing,Distribution, and individual Segments.
TeamDevelopment
  • MentorsotherjuniorEventPlannersbyprovidingguidance,feedback,andbestpracticesonlogistics, stakeholder alignment, hospitality standards, and event strategy.
  • Supportsonboardingandtrainingofnewteammembers,includingcommunicationsandeventplanningtools.

Job Qualifications

Location

Hybrid- defined as working three or more days per week in the office if the employee's residence is within 50 miles of Westfield Center, OH; OR Remote-if the employee resides more than 50 miles from Westfield Center, OH.
