The ideal candidate is highly organized, proactive, and capable of handling multiple priorities, guest services, and post-event follow‑ups in a fast-paced arts environment.

Qualifications

• Minimum 2–4 years of experience in special events, hospitality, fundraising, or arts administration.
• Experience coordinating events, projects, or admin workflows in a fast-paced environment.
• Strong written and verbal communication and data management skills.

Responsibilities

• Coordinate logistics for donor, cultivation, stewardship, and engagement events (80+ annually).
• Independently plan and execute a subset of smaller events with oversight from Manager, Special Events.
• Support Open Night and Gala planning with event leadership.
• Maintain event calendars, timelines, run-of-show docs, and staffing plans.
• Coordinate venue logistics, catering, rentals, transportation, signage, AV, supplies, volunteers.
• Prepare agendas, document decisions, and track follow-up items.
• Coordinate vendor logistics and internal service requests.
