Job description

Position Summary

The Senior Director of Operations is a key member of BFF’s leadership team, responsible for aligning internal operations with the organization’s mission, values, and strategic goals. Reporting to the Deputy Director of Operations, this role supports the long-term planning for organizational growth, sustainability, and financial health. The SD oversees the Finance, HR & Culture, and Office Administration work, and manages the operational systems, processes, and internal communications that support the organization's mission and ensure the day-to-day operations run efficiently and effectively. This position plays a critical role in building and maintaining the operational foundation and is a management role, not subject to collective bargaining agreement or union representation. Additional duties may be assigned as needed.

General Responsibilities

Operations Management (60%)

  • Leadership and Team Development: Provide departmental anchoring and coaching to the Finance, HR & Culture, and Office Administration teams, fostering collaboration and alignment with BFF goals.
  • Policy, Process and SOP Development: Lead the development of operational policies and procedures that support organizational efficiency, safety, and scalability. Manage and refine internal systems, processes, and workflows across departments
  • Employee & HR Management: Oversee HR-related initiatives to create a thriving workplace culture, support staff retention, and develop clear systems for employee engagement, benefits, and performance management.
  • Facilities and Workspace Management: Oversee the physical and virtual workspace needs.
  • Contract Management: Manage BFF’s contracting process (vendor and contractor management) and coordination of services including drafting consultant contracts and maintaining payment schedules
  • Office Administration: Oversee facilities and workspace management, including both physical and virtual office needs.
  • Technology & Communication Systems Management: Maintain oversight of tools and systems (including but not limited to Google Workspace, Slack, Zoom, Miro, Every Action CRM).
  • Internal Communications Systems Support: Support the Deputy Director in managing organization-wide communication systems, including updates, announcements, and fostering clear communication across teams.
  • Manage Tech Equipment Inventory and Staff Setup: Oversee the inventory of tech equipment, replacements, and staff tech setup.

Finance Management (40%)

  • Finance Strategy: Champion, develop, and implement BFF’s finance strategy, and lead the creation of processes for BFF’s finance systems, including proper documentation of financial practices and procedures.
  • Financial Oversight and Coordination: Ensure financial operations are running efficiently by supporting the Deputy Director with budgeting, forecasting, and monitoring financial health.
  • Financial Planning: Provide leadership and direction in the development of short and long-range financial plans.
  • External Accountant Collaboration: Work closely with BFF’s external accountant to ensure the organization implements the best fiduciary stewardship practices
  • Audit Process:Lead the audit process by preparing documentation and responding to auditor inquiries
  • Financial File Management: Keep financial files organized, current, and accessible to key stakeholders (auditor, accountant, Deputy Director, Executive Director)
  • Expense Reimbursement Management: Manage the organization’s credit card and expense reimbursement process (Concur Solutions), including training, reporting, tracking, ensuring all expense report submissions within one month of expense incurrence, and providing accurate coding and/or reclassification of all financial transactions. Oversee the Chart of Accounts and communicate changes regularly to staff.
  • Grant Income Tracking: Support grant income tracking and payment entry, ensuring accurate categorization and close collaboration with the Resource Mobilization team
  • Payroll Management: Process payroll via BFF’s payroll system (currently TraxPayroll) for staff and fellows; prepare for Deputy Director approval.
  • IRA Contributions: Manage the input of IRA contributions monthly.
  • Accounts Receivable (AR) Management: Manage all accounts receivable (AR) functions and accounting procedures, including receiving and coding invoices, maintaining the billing system, and organizing all documentation, files, and records using Bill.com management software.
  • Accounts Payable (AP) Management: Process the full cycle of accounts payable (AP) including entering invoices, paying bills, filing, reconciling vendor statements, and maintaining vendor accounts via QuickBooks Online.
  • State Tax ID Management: Manage State Tax IDs for the organization.

Job Requirements

  • 8+ years of relevant experience in financial reporting, forecasting and planning.
  • Knowledge of tax and other compliance implications of 501(c)(3) and 501(c)(4) non-profit status, including an understanding of the legal and regulatory requirements. Additionally, a solid understanding of operating as an Inc. (Incorporated entity) and LLC (Limited Liability Company), including tax obligations, filing requirements, and organizational structure considerations
  • Experience supporting and maintaining an effective financial infrastructure ensuring accurate financial reporting, safeguarding of assets, and compliance
  • Technologically savvy with advanced knowledge of accounting and financial reporting softwares including Quickbooks, Bill.com, Certify, Intuit
  • Familiarity with various HRIS and financial software including ADP Workforce Now, Bamboo HR, TRAXPayroll, Bill.com and more.
  • Familiarity with cloud computing and project management software including Google Suite, Asana, etc.
  • Exemplary communications skills, interpersonal skills, and professionalism.
  • Strong attention to detail as needed for safety, reporting, maintenance and general operations.

  • Prior work in grassroots organizing or with Black women, girls and gender-expansive people, a plus.

  • Ability to lead an organization through periods of internal shifts, political transition and membership expansion.
  • Ability to execute on behalf of the Executive Director; identifying potential obstacles, owning real-time mitigation and troubleshooting, possessing the ability to go deeper into solutions.
  • Experience and savvy in providing tactical and strategic thought leadership and action in order to advance organizations, collaborative projects, and coalitions
  • A desire to challenge the standard thinking with new ideas, new approaches, and new solutions

Travel

35% of travel is expected, including but not limited to BFF’s weeklong semiannual all-staff advances, occurring in the spring and fall of each calendar year, one executive and two senior leadership retreats as well as attendance at departmental advances the Deputy Director oversees. Intermittent travel related to BFF programming needs may also occur.

Black Feminist Future is a hybrid organization, based in Atlanta, GA with staff working both remote and in office with mandatory in person staff and team meetings and in office visits during the year.
