Job summary

Northwell Health in New York is seeking an administrative assistant to support the Foundation, manage executives' calendars, answer calls, greet guests, and draft correspondence.

You will maintain the donor database, coordinate board meetings and donor events, assist with fundraising campaigns, and liaise with hospital staff, vendors, and trustees to ensure smooth operations.

Qualifications

  • High School Diploma or equivalent required.
  • 2-4 years of relevant experience, required.
  • Associate's degree preferred.
  • Strong written and verbal communication skills including drafting professional correspondence, agendas, meeting minutes, and donor communications.
  • Demonstrated ability to manage multiple calendars, priorities, deadlines, and confidential information in a fast-paced environment.
  • Exceptional organizational skills with strong attention to detail and follow-through.
  • Strong customer service and relationship-building skills with the ability to interact professionally with executives, trustees, donors, vendors, and community stakeholders.
  • Experience coordinating board meetings, committee meetings, donor events, and special events.

Responsibilities

  • Organizes calendars and coordinates meetings for executives, including drafting minutes and agendas.
  • Updates donor database and records donations in collaboration with Prospect Research and Database Manager.
  • Provides administrative duties for the Foundation, manages phones, and tracks voice messages.
  • Interfaces with hospital personnel, vendors, trustees and donors; mails donor correspondences and invitations.
  • Assists in producing content for Foundation meetings and campaigns; coordinates events.
  • Orders office supplies and coordinates special events; handles file maintenance and liaison duties.

Job description

Job Responsibility- FULLY ONSITE
  • Supports the leadership by organizing calendar, organizing/reminding executives to follow-up, answer telephones/transferring, calls/taking messages, greeting guests, handling and directing inquiries/complaints, organize and coordinate meetings, opening/sorting mail, drafting correspondence and prepare agenda and type minutes for meetings.
  • Collaborates with Prospect Research and Database Manager to update and maintain the donor database including receiving and recording donations.
  • Provides administrative assistant duties for the Foundation such as managing phones, and tracking voice messages; oversees and maintains certain files, contact lists and calendars.
  • Interfaces and develops relationships with hospital personnel, hospital vendors, trustees and donors; mails donor correspondences, invitations for events and follows-up on such invitations.
  • Participates and assists in developing and producing content and material for Foundation meetings including Foundation Board Campaign and Marketing Communications.
  • Orders office supplies and equipment, files, and performs liaison duties for office equipment maintenance supply vendors; helps coordinate special events.
  • Assists Foundation Team in all fundraising efforts and special projects; maintains check requests/purchase requisition.
  • Assists methodologies such as direct mail, written proposals, and ongoing solicitations; assists in cultivation of donors for annual campaign and special events.
  • Participates in all Foundation events as appropriate.

Job Qualification
