Senior Project Admin Coordinator
Key Accountabilities / Core Job Responsibilities
  • Confidentially coordinate activities for assigned members of Senior Leadership, including managing complex calendars and organizing BOD, advisory, and investor meetings (when required).
  • Coordinate travel arrangements and related logistics; plan and organize meetings; prepare agendas; provide research/background; create presentations; coordinate meeting logistics.
  • Serve as primary point of contact for meetings/events/projects and represent Senior Leadership to external constituencies; assess requests/questions and make autonomous, accurate judgments.
  • Prepare Senior Leadership for internal/external meetings by researching organizations/individuals, gathering resources, and compiling relevant materials.
  • Anticipate business needs and proactively formulate/evaluate solutions and recommendations to meet deadlines and goals.
  • Partner and coordinate Talent Acquisition hiring activities, including maintaining a master calendar, coordinating travel/logistics, and serving as central contact for candidate requests/questions.
  • Compose correspondence; develop/review/edit presentations and documentation; independently research/analyze issues and compile materials for decisions.
  • Manage multiple projects simultaneously; track dates/events/action items and follow up to ensure deadlines.
  • Support event planning and execution.
  • Maintain accurate timekeeping by clocking in/out in designated systems per policy.
Qualifications / Skills (Required)
  • High school diploma or equivalent and 4+ years of administrative support experience.
  • Proven track record supporting senior-level leadership.
  • Ability to handle sensitive issues and maintain confidentiality.
  • High professionalism, flexibility, discretion, judgment, diplomacy, and tact.
  • Strong interpersonal/customer service skills.
  • Multitasking; adapt to changing priorities and deadlines.
  • Advanced computer skills; office software and G-Suite.
  • Excellent verbal/written communication, including editing/proofreading.
  • Growth mindset; ability to adapt in a rapidly scaling organization.
  • Excellent planning/organizational skills; initiative and ownership.
Preferred Qualifications
  • Bachelor’s degree.
  • Biotech industry experience (science-focused environment).
  • Experience supporting Finance, Investor Relations, or Corporate Development.
  • Experience working for a global organization.
Benefits / Compensation
  • Hourly range: $45.19-$58.65.
