Qualifications

  • Exposure to construction or utilities industry is preferred.

Responsibilities

  • Prepare, format, and proofread contracts, amendments, NDAs, and related documents.
  • Review incoming contracts and flag non-standard terms for escalation.
  • Maintain contract management database with key dates and renewal terms.
  • Track milestones, expirations, and notify stakeholders of deadlines.
  • Coordinate certificates of insurance, lien waivers, and W-9s for execution.
  • Route contracts for internal review and maintain executed copies.
  • Assist with correspondence on compliance, defaults, and renewals.
  • Support RFP/bid responses with required exhibits and documents.

JOB SUMMARY

The Senior Contract Administrator supports the Management team and broader Legal/Contracts function by administering, tracking, and processing contracts across the company’s commercial, industrial, and utility-facing work. Drawing on paralegal training, this role prepares and reviews routine contract documents, monitors contract terms and compliance deadlines, maintains the contract management system. This is a senior-level individual contributor role requiring strong legal-document literacy, meticulous attention to detail, and the ability to work independently on contract administration tasks while escalating higher-risk or complex matters to the Management team or outside counsel.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Prepare, format, and proofread contracts, amendments, subcontractor and vendor agreements, NDAs, and related legal documents using approved templates and standard clause libraries.
  • Conduct first-level review of incoming contracts and redlines, flagging non-standard terms, missing provisions, or deviations from company policy for the Management teams attention.
  • Maintain the contract management database/tracking system, ensuring accurate records of key dates, renewal terms, insurance certificates, and compliance obligations.
  • Track contract milestones, expiration and renewal dates, and notify internal stakeholders of upcoming deadlines and required actions.
  • Coordinate collection and tracking of certificates of insurance, lien waivers, W-9s, and other subcontractor/vendor compliance documents required prior to contract execution.
  • Route contracts for internal review and signature, maintaining accurate execution records and fully executed copies in the company's document management system.
  • Assist with drafting correspondence related to contract compliance, notices of default, cure periods, and renewal or termination notifications, under the direction of the management team.
  • Support the RFP/bid response process by compiling required contract exhibits, forms, and compliance documentation.
  • Liaise with Operations, Accounting, Safety, and Human Resources to gather information needed for contract administration and to resolve routine contract questions.
  • Assist in preparing files and documentation requested by outside counsel for disputes, claims, or audits.
  • Maintain organized physical and electronic contract files in accordance with company recordkeeping policy and applicable retention requirements.
  • Perform other duties as assigned.
Qualifications
REQUIRED QUALIFICATIONS
  • Associate's degree or paralegal certificate from an ABA-approved or equivalent paralegal program required; Bachelor's degree preferred.
  • Minimum of four (4) years of experience as a paralegal, contract administrator, or in a similar legal/contract support role.
  • Working knowledge of contract terminology, legal document structure, and basic contract law principles.
  • Exposure to construction, utilities, or prevailing wage/certified payroll compliance strongly preferred.
  • Exceptional attention to detail and organizational skills, with the ability to manage a high volume of documents and deadlines accurately.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite; experience with contract management or document management software preferred.
  • Ability to exercise sound judgment in identifying issues that require escalation to the management team or outside counsel.
PREFERRED QUALIFICATIONS
  • Certified Paralegal (CP) or Registered Paralegal (RP) credential.
  • Prior experience in the electrical, utilities, or construction services industry.
  • Experience supporting government or public works contracting.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT

This position is primarily performed in a standard office environment with regular use of a computer, telephone, and standard office equipment. The role requires prolonged periods of sitting, extensive reading and written documentation work, and occasional travel to job sites or customer locations, which may require exposure to active construction or field environments where standard safety protocols (e.g., PPE) must be observed.
