Job summary

The Westin Westminster is seeking a detail-oriented Conference Services Manager to coordinate meetings, conferences, banquets, and social events from contract to completion. You will lead planning, client communication, and on-site execution while collaborating with Sales, Banquet, Culinary, and other hotel teams.

Ideal candidates will have strong organizational skills, superb communication, and a passion for delivering memorable event experiences.

Qualifications

• Minimum 2 years in hotel conference services, catering, or event management.
• Strong knowledge of food & beverage operations and event logistics.
• Excellent communication, organization, and customer service skills.
• Proficiency with hotel event systems (CI/TY, Opera) and MS Office.
• Ability to manage multiple programs and priorities in a fast-paced environment.
• Flexible to work evenings and weekends as needed.

Responsibilities

• Serve as primary client contact after contract signing, coordinating planning and execution.
• Prepare and distribute BEOs, group resumes, and event diagrams.
• Coordinate with Sales, Banquet, Culinary, Front Office, and Engineering teams to meet client needs.
• Conduct pre- and post-event meetings to review logistics and outcomes.
• Upsell food, beverage, and services to maximize profitability while ensuring guest satisfaction.
• Monitor event progress and address on-site issues promptly.
• Ensure accurate billing and financial documentation for group events.
• Maintain event records in the hotel’s sales and catering system.
• Represent the hotel professionally to encourage repeat and referral business.
• Participate in weekly meetings for coordination across departments.
